About HL Safari Tours HL Safari Tours offers immersive, private wildlife and safari experiences, educational tours, and unique event opportunities within our zoological environment. We host birthday parties, corporate events, tours, fundraisers, and more in a setting where animals, nature, and guest experience converge. We are seeking an energetic, experienced Event Coordinator to help elevate our event programming and guest experience. Role Overview The Zoo Event Coordinator will plan, organize, and oversee a variety of events held on-site (and occasionally off-site) in the zoo. This includes private parties, corporate functions, behind-the-scenes tours, birthday celebrations, school groups, and special events. The ideal candidate will have strong logistical and communication skills, an ability to partner with multiple departments (animal care, operations, marketing), and a passion for creating memorable guest experiences in a zoological context. Key Responsibilities Lead all phases of event production, conception, planning, logistics, execution, and post-event evaluation. Serve as the main point of contact for clients, internal departments, and vendors. Build event proposals, budgets, and timelines; manage cost control. Coordinate event setup, staff assignments, equipment, catering, audio/visual, décor, permits, and safety protocols. Ensure all events operate in compliance with zoo safety, animal welfare, guest safety, and regulatory requirements. Work with animal care/education teams to plan animal interactions, private tours, or VIP experiences as requested. Recruit, train, manage, and schedule event staff, volunteers, and third-party contractors. Promote events (in coordination with marketing) assist with collateral, social media, signage, sponsorship solicitations. Oversee inventory, rental equipment, supplies, and maintenance of event materials.
Manage event day operations:
supervise execution, troubleshoot issues, manage flow, ensure guest satisfaction. Conduct post-event debriefs, prepare event reports, collect guest feedback, and make recommendations for improvements. Maintain records (contracts, invoices, permits, safety documentation, vendor agreements). Participate in strategic planning to expand and innovate event offerings, partnerships, and revenue streams. Qualifications & Skills (Preferred) Experience working in a zoo, wildlife, or nature-based institution. Understanding of animal welfare, zoo operations, or behind-the-scenes tour logistics. Experience coordinating volunteer teams. Background in sponsorship, fundraising, or revenue-driven event models. Familiarity with safety, liability, and permit requirements in public event settings.
