Job Description

Under the direction of, and reporting to the Chief Operating Officer, the Director of Events and Conference Services is responsible to develop and execute sales strategies to achieve revenue targets. The Director will drive revenue by prospecting and fostering relationships with both internal constituents and external clients. The Director is responsible to provide oversight to the Meetings, Events and Conferences (MEC) department through the development and execution of a comprehensive operational plan for both internal and external customers. Responsibilities:
Responsible to model the University Mission through dedicated job performance, service excellence to constituencies, respectful collaboration and active support of the University's Mission and Catholic and Lasallian higher education.
  • The Executive Director is responsible for the overall vision, leadership and direction for the development and execution of all internal and external meetings, events and conferences.
  • Develops and manages a strategic plan for MEC including increasing revenue to the University through rentals and events.
  • Creates and manages processes, policies and procedures for the University's Meetings, Events and Conferences including but not limited to contracts, fees, booking processes, and communications.
  • Using a mission-focused approach, oversee all events taking place through the MEC protocol and planning process.
  • Directly supervise and provide leadership to the Meetings, Events and Conferences staff.
  • Update and develop operational policies and procedures.
  • Respond to any immediate production requests or concerns, and successfully resolve client complaints or concerns.
  • Assess processes and data to evaluate events planned.
  • Make recommendations and assist in the implementation of changes for continuous improvement.
  • Foster purposeful positive relationships with campus partners, clients and vendors.
  • Develop internal and event survey systems as a means to achieve high customer satisfaction with internal and external events.
  • Demonstrate various supervisory methods and practices including: training, coaching, staff development and overall motivation of the full MEC department.
  • Exhibit exceptional event planning skills and experience to include: contract negotiations, space usage, catering, logistics, vendor relations, problem solving/trouble-shooting, strong communication and relationship building.
  • Spearhead strategic meetings with internal partners and all pertinent campus service providers, following up on issues/concerns, working to resolve problems and develop improved processes and procedures for future meetings, events and conferences.
  • Collaborate with the MEC staff to ensure the annual revenue goal of MEC is met or exceeded on an annual basis.
  • Work with Marketing to develop external marketing plan for facility usage to drive revenue to the University.
Minimum Qualifications:
Prior related experience in events and conferences is required. Experience with contractual terms, restrictions and liabilities, is required. Ability to make administrative/procedural decisions and judgments. Strong interpersonal and communication skills required. Ability to work effectively with a wide range of constituencies. Knowledge and understanding of meeting and event planning principles, requirements, procedures, and available resources. Highly skilled in organizing resources and establishing priorities, facilities, technology and equipment. Ability to perform complex tasks and to prioritize multiple projects. Ability to use independent judgment and to manage and impart information to a range of clientele. Strong service orientation. Exceptional organization/time management skills. Good problem solving skills. Approachable and cooperative. Dependability and strong follow through on tasks. Ability to work both independently and as part of a team. Must be willing to work with flexible schedules involving evening, weekend and holiday hours.
