Position Description:
The Donor and Event Coordinator is responsible for supporting the fundraising, donor engagement, community partnership, and event activities of Health Plus Indiana (HPI). This position will assist with identifying new funding and donor opportunities, cultivating relationships, coordinating donor communications, maintaining accurate donor records, securing event sponsorships, and planning and executing successful fundraising and community events. The position requires strong organizational, communication, relationship-building, and project-management skills.
Responsibilities and Essential Functions:
1. Donor Relations and Stewardship Develop and maintain positive relationships with current and prospective individual, corporate, and community donors. Assist with identifying and cultivating new donor prospects. Maintain regular communication with donors and supporters through letters, emails, phone calls, newsletters, and other communications. Coordinate donor acknowledgment, including thank-you letters, receipts, recognition, and other stewardship activities. Track donor interactions, contributions, pledges, sponsorships, and other relevant information. Assist with developing donor recognition and appreciation activities. Support annual giving and other individual fundraising campaigns. Help develop strategies to increase donor retention and recurring giving. Maintain confidentiality of donor and organizational information. Develop opportunities for businesses and organizations to support HPI through sponsorships, donations, employee engagement, volunteerism, and in-kind contributions. 2. Fundraising Assist with planning and implementing annual fundraising strategies. Coordinate fundraising campaigns, appeals, giving days, peer-to-peer fundraising, and other development activities. Research potential individual, corporate, foundation, and community funding opportunities. Assist with preparing sponsorship requests, donor letters, fundraising materials, and other development communications. Develop and maintain relationships with local businesses and organizations to secure financial and in-kind support. Track fundraising goals, revenue, expenses, sponsorships, and campaign outcomes. Work with leadership to establish realistic fundraising goals and strategies. Identify opportunities for new fundraising initiatives that support HPI programs and services. 3. Event Planning and Coordination Plan, coordinate, and execute HPI fundraising, donor appreciation, community engagement, and awareness events. Develop event timelines, checklists, budgets, and work plans. Coordinate event logistics, including venues, food, entertainment, equipment, decorations, volunteers, registration, and supplies. Recruit, coordinate, and communicate with event volunteers. Solicit event sponsors, vendors, donors, and in-kind contributions. Develop sponsorship packages and maintain relationships with event sponsors. Coordinate event registration and participant communications. Assist with event marketing and promotion through social media, email, flyers, newsletters, and community outreach. Coordinate event-day activities and troubleshoot issues as needed. Track event attendance, revenue, expenses, sponsorships, and other performance measures. Conduct post-event evaluations and make recommendations for future events. Ensure events are consistent with HPI's mission, values, branding, and organizational standards. 4. Communications and Marketing Support Assist with developing donor communications, fundraising appeals, event invitations, newsletters, and other materials. Coordinate social media and other promotional efforts related to fundraising and events. Collect stories, testimonials, photographs, and program information for use in fundraising and outreach materials while following applicable privacy requirements. Ensure fundraising and event materials accurately communicate HPI's mission and services. Collaborate with staff to promote organizational accomplishments and community impact. 5. Recordkeeping and Reporting Maintain accurate and confidential donor and sponsorship records. Ensure donations, sponsorships, pledges, and in-kind contributions are documented appropriately. Coordinate with Finance to reconcile donations, event revenue, sponsorships, and related financial information. Prepare regular reports regarding fundraising activity, donor engagement, event participation, and revenue. Monitor progress toward fundraising and event goals. Maintain organized electronic and physical development files. Assist with preparing information for the Board of Directors, leadership, grant reports, and organizational planning. 6. Organizational Support Participate in staff meetings, planning meetings, and organizational activities. Work collaboratively with program, finance, outreach, administrative, and leadership staff. Promote a positive image of Health Plus Indiana throughout the community. Maintain professional relationships with clients, donors, volunteers, community partners, and other stakeholders. Follow all HPI policies and procedures. Maintain confidentiality and comply with applicable privacy and organizational requirements. Perform other duties as assigned.
Qualifications:
Associate degree in nonprofit management, marketing, communications, business, public relations, event planning, or a related field or equivalent combination of education and experience. Minimum of 2 years of experience in fundraising, donor relations, event planning, community outreach, marketing, nonprofit administration, or a related field. Excellent verbal and written communication skills. Strong organizational and time-management skills. Ability to manage multiple projects and deadlines simultaneously. Ability to establish and maintain professional relationships with donors, businesses, community organizations, volunteers, and staff. Proficiency with Microsoft Office products, email, internet-based systems, and social media platforms. Ability to work independently while also functioning effectively as part of a team. Ability to maintain confidential information. Ability to attend events and meetings at various locations throughout HPI's service area. Ability to work occasional evenings and weekends as required for fundraising and community events. Ability to lift and carry event materials and supplies weighing up to approximately 30 pounds. Ability to stand, walk, bend, and move throughout event locations as needed. Ability to communicate professionally and effectively with donors, community partners, volunteers, staff, and members of the public. Ability to establish trust and maintain positive, long-term relationships with donors, sponsors, businesses, and community partners. Strong attention to detail and ability to manage multiple projects, deadlines, events, and priorities. Understanding of basic fundraising principles, donor cultivation, stewardship, sponsorship development, and community engagement. Demonstrates integrity, discretion, reliability, cultural sensitivity, and commitment to the mission of Health Plus Indiana. Ability to develop creative fundraising ideas, donor engagement strategies, community partnerships, and event concepts. Performance Measures Performance will be evaluated based on the employee's ability to: Increase donor engagement and retention. Establish new donor and community relationships. Meet established fundraising and sponsorship goals. Successfully plan and execute HPI fundraising and community events. Maintain accurate donor and event records. Provide timely donor acknowledgment and stewardship. Maintain accurate fundraising and event reporting. Represent Health Plus Indiana professionally in the community.
