Spring Haven Farm Spring Haven Farm, a beloved family destination in Chapel Hill, NC, is seeking an experienced and enthusiastic Public Event Coordinator to lead the planning, promotion, and execution of our unique, farm-based events. We host a wide variety of public and private events, including seasonal festivals. Core Ownership:
Maintain and Promote Vision, Mission and Core Values of Spring Haven Farm Management and curation of all Public Events for
Spring Haven Farm Consolidated Guest Journey:
Streamline ticketing flows, pre-arrival email communications, and follow-up reviews to ensure clear expectations and easy booking across all device types.
Concept Development:
Design and execute "magical" farm experiences, including themed character interactions, holiday-specific activations, and immersive guest journeys.
Artistic Programming:
Curate and lead craft and art classes that utilize the farm's natural beauty and materials.
Environment Curation:
Oversee the visual "vibe" of the farm, ensuring the atmosphere aligns with our whimsical and welcoming brand. Manage and Maintain Renfest.farm and MurderMystery.farm Manage all updates for the websites Build newly created stories Management of Third Party Event Event websites Update and maintain the third party sites to reflect the farm's offerings. Creation and Management of all tickets and Ticketing System Ensure the the proper integration of ticketing with website and advertising Create all the tickets for the farms events Facilitate Marketing Execution for all events Coordinate with the Brand Emissary to facilitate marketing to meet revenue goals. Review and utilize Google analytics on a daily basis to make real time marketing decisions to optimize revenue. End to end Management of the
Supervise scheduled vendor setup, restocking access hours, and teardown schedules to ensure property protection and order.
Budget Oversight:
Manage the festival P&L, tracking revenue from admissions, vendor booth fees, and merchandise against talent, marketing, and rental costs.
Staff Scheduling & Training:
Recruit, train, and deploy seasonal staff, volunteers, gate checkers, and grounds crews.
Debrief & Vendor Wrap-up:
Conduct post-event reconciliations, gather vendor/guest feedback surveys, issue vendor deposits, and document logistical improvements for the following season. Guest Experience Facilitation and General Farm Duties Assist in the daily operations of Spring Haven Farm Rotate through various front-facing farm positions as needed
Station Trajectory:
The station trajectory for the Public Events Coordinator begins with mastering the day-to-day operational execution of current seasonal festivals—streamlining on-site ticketing flow, event logistics, and guest safety—and advances toward becoming the farm's chief visionary for high-capacity public agritourism programming. Over the long term, this role is tasked with transforming Spring Haven Farm's public calendar into a regionally renowned, year-round event destination across the Triangle, developing an innovative signature Renaissance festival, and other thematic experiences. Curate high-yield artisan partnerships that maximize attendance while protecting the farm's authentic, welcoming charm. Ultimately, the coordinator's goal is to build an efficient, highly profitable public events engine supported by scalable systems, data-driven marketing, and strong vendor ecosystems that consistently drive sustainable revenue and solidify the farm's legacy as a premier community gathering space. Required Qualifications & Skills A minimum of 3-5 years of professional experience in event planning and management , preferably in a unique venue, farm, non-profit, or hospitality setting. Exceptional organizational and project management skills , with a proven ability to manage multiple complex events simultaneously and meet tight deadlines. Excellent interpersonal and communication skills (written and verbal) to effectively engage with guests, vendors, staff, and farm management. Flexibility to work a non-traditional schedule, Wed-Sun 9am-6pm including evenings, weekends, and holidays, as required by the event calendar. Preferred Attributes A genuine passion for farm animals, agriculture, and community engagement . Experience in a venue that requires managing outdoor event logistics in various weather conditions.
