Job Description

Company Overview St. Joseph Community Services is dedicated to enhancing the lives of local residents through compassionate meal programs, social engagement, and community support services. Overview We are seeking an energetic and detail-oriented Events Manager to lead the planning, coordination, and execution of community events and programs. This role offers an exciting opportunity to create memorable experiences that foster community engagement, support organizational goals, and promote our mission of service. The ideal candidate will excel in managing multiple projects, building strong relationships with vendors and stakeholders, and delivering exceptional guest experiences.
POSITION SUMMARY
The Events Manager leads the planning and execution of events from concept through completion, serving as the primary coordinator for venues, vendors, community partners, volunteers, and participating staff. The position is responsible for identifying and developing new event opportunities, strengthening partnerships with local organizations and businesses, and creating welcoming, engaging experiences that support HCMOW's mission and encourage greater community participation. Working collaboratively across Development, Client Services, Marketing, Volunteer Engagement, and Operations, the Events Manager ensures that events are not only well executed, but also contribute to HCMOW's broader goals of reducing social isolation, strengthening community connections, increasing access to services, and helping older adults remain engaged in the communities where they live.
KEY ROLES AND RESPONSIBILITIES
Event Planning & Management
  • Plan, coordinate, and execute HCMOW's major organizational, community, and fundraising events from concept through completion.
  • Develop comprehensive event plans, timelines, budgets, work plans, and logistics.
  • Serve as the primary point of contact for venues, caterers, entertainment, speakers, rental companies, and other event vendors.
  • Negotiate and coordinate vendor services, pricing, contracts, and event requirements in collaboration with the Director of Development.
  • Coordinate event registration, invitations, materials, supplies, setup, breakdown, and onsite logistics.
  • Manage event-day activities and provide direction to staff and volunteers.
  • Monitor event expenses and ensure activities remain within approved budgets.
  • Conduct post-event evaluations and identify opportunities for improvement.
  • Develop and implement new event concepts that advance HCMOW's mission, community presence, and engagement. Community Dining Events
  • Coordinate and execute HCMOW's recurring Community Dining lunches and activities throughout Hillsborough County.
  • Manage venues, event calendars, meals, entertainment, activities, supplies, setup, and onsite logistics.
  • Schedule necessary staff and volunteers to successfully operate Community Dining events.
  • Work closely with Client Services to ensure Community Dining activities align with program requirements and participant needs.
  • Provide a welcoming and engaging experience for participants and identify opportunities to strengthen participation and social connection.
  • Maintain effective contacts and relationships with venues hosting HCMOW events. The Events Manager is responsible for the planning and execution of Community Dining events; Client Services retains responsibility for program administration, participant eligibility, enrollment, service documentation, data collection, billing support, and program compliance. Community Partnerships & Outreach
  • Develop and maintain relationships with community organizations, municipalities, businesses, senior centers, venues, civic organizations, and other community partners.
  • Identify opportunities for new partnerships, events, collaborations, and outreach.
  • Represent HCMOW at community meetings, events, and activities as appropriate.
  • Help expand awareness of HCMOW programs and services throughout Hillsborough County.
  • Coordinate with the Volunteer Engagement Manager on volunteer and corporate-group participation in events.
  • Coordinate with Development staff when community relationships present fundraising, sponsorship, or donor-engagement opportunities. Internal Coordination
  • Work with the Director of Development to establish annual event priorities, goals, and budgets.
  • Partner with Marketing on event promotion, communications, invitations, signage, collateral, social media, and other materials.
  • Coordinate with Client Services regarding participant eligibility, program requirements, meal-unit documentation, and other programmatic aspects of Community Dining.
  • Coordinate with Operations regarding food, equipment, transportation, supplies, and other logistical needs.
  • Maintain an organization-wide event calendar and communicate event requirements and schedules to appropriate staff.
  • Participate in organizational planning and other activities as assigned.
EDUCATION, TRAINING AND EXPERIENCE
  • Three to five years of experience in event planning, community engagement, hospitality, nonprofit programming, or a related field.
  • Demonstrated experience independently coordinating events, vendors, venues, and event logistics.
  • Strong project management and organizational skills with the ability to manage multiple events and deadlines simultaneously.
  • Have a Food Safety Certification, or obtain one within 90 days of hire
  • Strong interpersonal and relationship-building skills.
  • Experience coordinating staff and volunteers.
  • Ability to work independently and exercise sound judgment while working collaboratively across departments.
  • Strong written and verbal communication skills.
  • Comfortable working with community partners and representing HCMOW publicly.
  • Proficiency with Microsoft Office and ability to learn organizational systems and event-management tools.
  • Valid driver's license and ability to travel throughout Hillsborough County.
  • Ability to work occasional early mornings, evenings, or weekends based on event schedules.
  • Must have a strong desire to contribute to the mission of Meals on Wheels.
  • Must have a vehicle that has current registration.
  • Must have a valid driver's license, and proof of insurance with a minimum of liability coverage of no less than $100,000 per person and $300,000 per occurrence required.
