Job Description

The Event Manager is responsible for planning, organizing, promoting, executing, and evaluating Friends of Karen's fundraising and community events throughout the year. This position manages events across Friends of Karen's service area, including:
New York:
Westchester, Rockland, Putnam, Orange, Sullivan, and Dutchess counties
Connecticut:
Fairfield, New Haven, and Middlesex counties The Event Manager oversees all aspects of assigned events, including budgets, timelines, sponsorships, committees, vendors, volunteers, auctions, promotional materials, and event-day logistics. In addition, the Event Manager manages a small portfolio of individual donors and prospects, with an emphasis on relationships developed through events and community engagement. This includes cultivating, soliciting, and stewarding donors in coordination with the Individual Giving Manager and Director of Fund Development. The ideal candidate is a creative, enthusiastic, and highly organized professional who is passionate about event management and donor engagement, provides exceptional customer service, and can successfully manage multiple priorities and relationships.
ESSENTIAL FUNCTIONS
Plan, manage, and evaluate Friends of Karen's major fundraising and community events throughout designated areas of New York, New Jersey, and Connecticut. Develop creative fundraising initiatives and manage event plans, timelines, budgets, revenue goals, and post-event evaluations. Recruit and support event chairs and committees, coordinating closely with honorees, sponsors, donors, volunteers, vendors, and staff. Identify, solicit, and steward corporate sponsors and other event supporters in collaboration with the Fund Development team. Manage event logistics, including venues, vendors, registration, guest lists, seating, audiovisual needs, entertainment, and event-day implementation. Coordinate auction activities, including soliciting and tracking donations, developing packages, preparing descriptions, and overseeing fulfillment. Work with the Marketing team to develop invitations, sponsorship materials, signage, digital communications, and other event-related materials. Support individuals, businesses, schools, and community organizations that host fundraisers benefiting Friends of Karen and identify opportunities to expand community-based fundraising. Collaborate with the Community Engagement and Volunteer Coordinator to recruit, schedule, and manage event volunteers. Manage a small portfolio of individual donors and prospects, developing personalized strategies to cultivate, solicit, retain, and steward each relationship. Identify prospective donors through events, committees, sponsorships, and community partnerships and help transition event participants into ongoing Friends of Karen supporters. Maintain regular contact with assigned donors through calls, meetings, personal outreach, event invitations, and other meaningful engagement. Develop and conduct appropriate gift solicitations in collaboration with the Individual Giving Manager and Director of Fund Development. Maintain accurate donor records, contact reports, next steps, and portfolio activity in Raiser's Edge NXT. Monitor event and donor portfolio progress and provide regular updates on engagement, solicitations, revenue, and fundraising results. Participate as a member of the Fund Development team and assist with other projects and responsibilities as assigned.
QUALIFICATIONS
Two to four years of experience in event planning, fundraising, nonprofit development, or a related field. Demonstrated ability to manage events from initial planning through implementation and post-event evaluation. Experience cultivating, soliciting, and stewarding individual donors is preferred. Creative, resourceful, and solutions-oriented, with excellent attention to detail. Strong organizational and project-management skills, with the ability to prioritize responsibilities, manage multiple events, meet deadlines, and remain composed in a fast-paced environment. Excellent interpersonal and relationship-building skills, with the ability to work professionally and diplomatically with donors, sponsors, volunteers, committee members, vendors, colleagues, and community partners. Excellent written and verbal communication skills, including presentation and public-speaking abilities. Ability to communicate Friends of Karen's mission effectively and confidently ask individuals and organizations for financial support. Experience developing and monitoring event budgets. Ability to work effectively both independently and as part of a collaborative team. Proficiency in Microsoft Office, including Word, Excel, PowerPoint, and Outlook. Experience with Raiser's Edge NXT or another donor relationship management system is preferred. Ability and willingness to travel regularly throughout the assigned service area and work occasional evenings and weekends, as required by the event schedule. Strong commitment to the mission, values, policies, and goals of Friends of Karen.
