Role:
The Meeting& Events Planner serves as the primary owner of meeting and event planningservices for the Spring House campus. The role manages the complete eventlifecycle and partners with clients, campus teams, and vendors from initialconsultation through onsite execution and follow-up. Spring House isa large, high-profile campus supporting approximately 2,000 employees andnearly 100 conference rooms. The campus hosts executive leadership visits,customer engagements, scientific events, town halls, training programs, andstrategic business initiatives. The planner exercises independent judgment,proactively resolves issues, and serves as the central point of coordinationfor meeting and event delivery.
What You'llDo :
  • Develop end-to-end event plans and detailedtimelines to support successful execution from initial request throughcompletion.
  • Consult with clients to understand eventobjectives, recommend solutions, and coordinate room setups, floor plans,catering, audio visual support, security, registration, scheduling, signage,and related logistics.
  • Manage conference room reservations, sharedmailboxes, Outlook calendars, and event approval workflows.
  • Facilitate planning meetings with clients,campus service partners, and vendors. Document responsibilities, deadlines, andescalation needs.
  • Review event orders create floor plans, andcommunicate setup or teardown details and schedules to supporting teams andvendors.
  • Serve as the primary point of contactthroughout the event lifecycle and the onsite lead on the day of the event.
  • Coordinate executive, VIP, customer,scientific, government, town hall, training, poster session, and multi-roomevents.
  • Conduct event readiness reviews and onsiteinspections to verify that spaces are properly configured, safe, andevent-ready.
  • Confirm vendor arrival and load-inrequirements, setup times, and event-day access needs.
  • Collaborate with Facilities, Catering, AudioVisual, Security, Housekeeping, Building Operations, and external vendors tosupport event delivery.
  • Support event setup and teardown, guestarrival, wayfinding, and attendee or speaker requests as needed.
  • Proactively troubleshoot issues, resolveservice gaps, and escalate concerns through the appropriate campus channels.
  • Complete post-event reporting,reconciliation, and client follow-up. Recommend improvements that strengthenservice quality, process efficiency, and the attendee experience. Spring HouseOperational Support
  • Support event operations across campusmeeting, event, and shared-use spaces.
  • Manage weekly scheduling and relatedlogistics of merchandise vendor program.
  • Support poster sessions, town halls, campusengagement programs, and other large-scale or complex campus events.
  • Communicate needs and confirm readiness ofevent-related requirements, including furniture, signage, easels, wastereceptacles, registration materials, and venue access. Leadership& Ownership
  • Take responsibility for the end-to-endplanning and coordination of meetings and events, ensuring all requirements areexecuted successfully from intake through post-event follow-up.
  • Use sound judgment, make informed decisions,and remain accountable for event outcomes.
  • Build productive partnerships with clients,campus stakeholders, service providers, and vendors.
  • Maintain a thorough understanding of campusservices, operating procedures, venue capabilities, and escalation pathways.
  • Lead by example and model behaviorsconsistent with

  • Work within established procedures whileidentifying practical opportunities to improve event quality, service delivery,and client satisfaction.
  • Communicate clearly, ask questions, confirmunderstanding, and keep stakeholders informed of changes or risks.
What You'llNeed:
Applicants mustbe currently authorized to work in the United States without the need for visasponsorship now or in the future Required
  • CMP (Certified Meeting Professional)certification or current/recent experience managing complex meetings, events,and customer-facing hospitality services preferred.
  • Strong customer service, communication,organization, and stakeholder management skills.
  • Ability to manage multiple priorities,deadlines, and changing requirements in a fast-paced environment.
  • Demonstrated ability to work independently,analyze information, solve problems proactively, and make sound decisions.
  • In-depth knowledge of Microsoft Officeproducts, including Word, Excel, and Outlook.
  • Strong attention to detail and aninquisitive, service-focused mindset. Preferred
  • Bachelor's degree preferred with up to 3years of relevant experience. In lieu of a degree, a combination of educationand experience will be considered.
  • Experience supporting executive, VIP,customer-facing, scientific, or government-related events.
  • Familiarity with workplace experience,hospitality, conference services, or corporate meeting operations.
The successfulcandidate will be a highly organized Meeting & Events professional whotakes ownership, understands the operational complexity of a large corporatecampus, and consistently delivers polished, well-coordinated experiences forclients and guests.
