Job Description

FRONT DESK SUPERVISOR DUTIES AND RESPONSIBILITIES
Manages budgeted revenues and expenses and maximizes profitability related to the Guest Services Department. Completes required accounting reporting as directed. Develops short-term and long-term financial operational plans for the Guest Services Department which relates to the overall objectives of the property. Hires and trains all guest services agents to deliver exemplary customer service each and every day throughout every guest interaction. Responsible for creating and sharing the FD schedule, in conjunction with the General Manager, so that it is published on a timely basis for all associates (Wednesday by 5pm). Responsible for ensuring that all FD shifts are appropriately covered based on business levels of the hotel. May need to cover shifts due to scheduling and/or call-offs. Follows company handbook and other established company policies/procedures, and complies with all Local, State, and Federal laws and regulations. Manages the Reservation function to maintain the highest possible room occupancy and average daily room rate through suggestive selling and partnership with General Manager and Revenue Manager. Completes all necessary reporting, ensuring that it is correct prior to distribution. Is present and leads by example during peak guest check in and check out times. Maintains procedures for credit control and handling of financial transactions including security of monies, guest security and emergency procedures. Responds to departmental-related guest complaints and ensures resolution. Gives feedback, coaching, and/or discipline to staff as needed. Acts as a manager on duty while General Manager and/or Assistant General Manager are otherwise engaged. Maintains back-up and record keeping of travel agent commissions on a daily/weekly/monthly basis. Maintains departmental communications through the effective use of staff meetings, log books and bulletin boards. Answers guest inquiries through all channels of communication, including, but not limited to, telephone, in-person, email, and fax. Communicates with team members regarding all information to ensure guest satisfaction is achieved at all times. Performs all other duties as assigned.

QUALIFICATIONS

  • High School diploma and two or more years of hotel experience preferred. Language Skills
  • Ability to read, analyze, and interpret common scientific and technical journals, financial reports, and legal documents.
Ability to respond to common inquiries or complaints from customers, regulatory agencies, or members of the business community. Ability to effectively present information to management, public groups, and/or board of directors. Ability to interact clearly and effectively, in both written and oral communication, with supervisor, clients, staff, vendors, etc. Mathematical Skills
  • Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations in addition to basic math concepts such as addition, subtraction, multiplication, and division. Computer Skills
  • To perform this job successfully, an individual should be proficient in personal computer skills including electronic mail, record keeping, routine database activity, word processing, spreadsheet, graphics, etc.
This role requires an average knowledge of Microsoft Office.

PHYSICAL DEMANDS

Specific vision abilities required by this job include close vision, far vision, color vision, peripheral vision, depth perception, ability to adjust focus, climbing stairs, grasping, and pushing/pulling.
WORK ENVIRONMENT
While performing the duties of this Job, the individual is occasionally exposed to moving mechanical parts. The noise level in the work environment is usually low to moderate. The individual frequently works in a controlled climate.
