Purpose of the Position The Events & Wedding Manager is a hands-on resort management position responsible for the successful planning, coordination, communication, quality assurance, and execution of weddings, festivals, group functions, catering events, social celebrations, transient guest events, and signature resort experiences at Mountain Lake. This position manages event planning within a rolling three-year window and ensures each event is thoughtfully organized, financially responsible, operationally achievable, and delivered with exceptional hospitality and attention to detail. Reporting to the Assistant Hotel Manager, the Events & Wedding Manager serves as a primary operational connection between the client, Sales & Catering, and the resort departments responsible for delivering the experience. This Manager works closely with the Marketing Manager, Communications & Social Media Manager, Food & Beverage Manager, Resort Chef, Director of Food & Beverage, Spa, Recreation & Activities, Guest Services, Housekeeping, Facilities, and other resort leaders to ensure one coordinated Mountain Lake experience from initial planning through final execution and follow-up. Essential Duties & ResponsibilitiesWedding & Social Event Planning
Manage the planning process for weddings, rehearsal dinners, welcome receptions, farewell brunches, anniversary celebrations, family gatherings, social events, and other private functions from contract turnover through final execution and follow-up.
Serve as a primary planning contact for assigned clients and maintain timely, organized, professional communication throughout the planning process.
Conduct planning meetings, site tours, venue walkthroughs, menu tastings, rehearsal coordination, and final-detail meetings as required.
Develop detailed event timelines covering ceremony, reception, food and beverage, entertainment, transportation, vendor access, lodging, amenities, Spa, Recreation & Activities, and other resort components.
Coordinate room setup requirements, floor plans, ceremony layouts, rain plans, décor, signage, guest flow, vendor arrival and departure, staging, audiovisual needs, and special requests.
Ensure wedding and event files remain complete, current, and organized, including contracts, correspondence, timelines, diagrams, vendor information, menus, guarantees, billing details, and approved changes.
Anticipate client and guest needs, identify potential operational challenges before arrival, and develop practical solutions with the appropriate resort leaders.
Maintain a professional, calm, confident presence during emotionally significant events and handle last-minute changes without allowing behind-the-scenes adjustments to negatively affect the guest experience. Festival & Signature Event Planning
Plan, coordinate, and support Mountain Lake festivals, holiday programs, signature weekends, seasonal celebrations, themed experiences, community events, food and beverage events, resort anniversaries, and other large-scale activations.
Maintain a rolling three-year planning calendar for resort events and ensure future programs advance through established concept, budget, contracting, marketing, operational, staffing, and execution milestones.
Work closely with the Marketing Manager and Communications & Social Media Manager to confirm event descriptions, schedules, promotional information, photography and content needs, signage, guest messaging, and public-facing details are accurate and operationally achievable.
Coordinate with Food & Beverage, Culinary, Spa, Recreation & Activities, Guest Services, Housekeeping, Facilities, Security, Retail, and other departments to ensure the event operates as one integrated resort experience.
Participate in post-event reviews and document successes, challenges, guest feedback, financial opportunities, operational lessons, and recommendations for future events. Group, Catering & Transient Event Planning
Coordinate assigned group, catering, meeting, conference, reunion, retreat, social, and transient guest events requiring multi-department planning or special resort services.
Review contracted commitments and ensure the operational plan reflects what has been sold and promised to the client.
Coordinate arrival experiences, meeting schedules, meal functions, breakout requirements, recreation, Spa experiences, amenities, transportation, special activities, and departure needs when applicable.
Work with Guest Services and lodging operations to understand room blocks, VIPs, special accommodations, arrival patterns, guest communications, and other details that influence event execution.
Ensure departments receive complete information early enough to schedule, order, prepare, and execute successfully. Banquet Event Order (BEO) Management
Create, review, revise, finalize, and distribute accurate Banquet Event Orders for all applicable events and catering functions.
Ensure BEOs clearly communicate menus, guarantees, pricing, timing, room setup, service style, audiovisual needs, décor, vendor requirements, special requests, dietary restrictions, accessibility needs, billing instructions, and other operational details.
Lead the weekly Banquet Event Order meeting and ensure Sales & Catering, Food & Beverage, Culinary, Guest Services, and all affected departments understand upcoming functions, priorities, changes, and responsibilities.
Prepare for BEO meetings in advance by identifying missing information, conflicting details, unrealistic timing, operational concerns, or decisions that must be resolved before execution.
Communicate BEO revisions promptly and ensure departments are working from the most current approved information.
Work closely with the Food & Beverage Manager, Resort Chef, and Director of Food & Beverage regarding tastings, menus, dietary needs, guarantees, service sequence, timing, banquet staffing, beverage service, and special culinary requirements.
Confirm all major functions have appropriate diagrams, timelines, contact information, rain plans when needed, and documented operational ownership. Event Execution & Quality Assurance
Conduct pre-event quality checks of banquet rooms, ceremony sites, reception spaces, festival areas, meeting rooms, signage, tables, chairs, linens, décor, food and beverage stations, audiovisual equipment, registration areas, and other guest-facing locations.
Verify that event setups match approved BEOs, diagrams, timelines, contracts, and Mountain Lake presentation standards before guest arrival.
Maintain a visible management presence during assigned weddings, events, festivals, high-profile functions, and peak event periods.
Monitor event flow, timing, service quality, food presentation, room condition, cleanliness, guest satisfaction, vendor performance, and overall execution throughout the function.
Address operational concerns promptly, coordinate service recovery when appropriate, and communicate significant issues to the Assistant Hotel Manager and appropriate department leaders.
Ensure approved changes made during an event are documented for billing, operational follow-up, and future planning.
Complete post-event follow-up and ensure guest feedback, operational notes, billing-related details, incidents, and recommendations are properly communicated. Guest Experience & Service Standards
Create a welcoming, organized, reassuring planning experience that gives clients confidence in Mountain Lake from the first planning interaction through event completion.
Model genuine Mountain Lake hospitality and ensure event decisions consider the complete guest journey, not only the function itself.
Take ownership of client and guest concerns, listen professionally, identify reasonable solutions, and coordinate appropriate service recovery within established authorization guidelines.
Engage event hosts and key contacts throughout assigned functions to confirm satisfaction and identify needs before concerns escalate.
Maintain strong knowledge of resort guestrooms, dining, Spa, Recreation & Activities, retail, transportation, seasonal programming, and other experiences that may enhance an event or guest stay.
Communicate significant guest issues, repeated planning concerns, vendor problems, or operational risks to the Assistant Hotel Manager and Resort Leadership. Leadership & Cross-Department Collaboration
Lead by example with a professional, positive, calm, prepared, visible, and solution-oriented presence.
Work collaboratively with the Assistant Hotel Manager and resort leadership to ensure event priorities support occupancy, guest satisfaction, revenue, operational readiness, and brand standards.
Maintain close working relationships with the Marketing Manager, Communications & Social Media Manager, Food & Beverage Manager, Resort Chef, Director of Food & Beverage, Spa, Recreation & Activities, Guest Services, Sales & Catering, Housekeeping, Facilities, Security, and other departments.
Facilitate productive event-planning and BEO meetings, establish clear deadlines, assign follow-up responsibilities, and hold participants accountable for commitments affecting event success.
Promote a One Team culture and reinforce that Sales, Events, Food & Beverage, Culinary, Rooms, Spa, Recreation, Marketing, and Facilities are jointly responsible for the guest experience.
Support associates and department leaders during high-volume weddings, festivals, holidays, group periods, and overlapping events.
Participate in resort leadership, operations, event, and departmental meetings as assigned. Revenue Generation & Upselling Expectations
Support established event, catering, lodging, and ancillary revenue goals while protecting the guest experience and contracted commitments.
Identify appropriate opportunities to enhance events through upgraded menus, beverage experiences, additional functions, premium venue use, lodging, Spa services, Recreation & Activities, retail, amenities, décor, transportation, and other resort experiences.
Partner with Sales & Catering and Food & Beverage leadership to maximize total resort revenue generated by each group, wedding, festival, and event.
Ensure approved enhancements, additions, guarantees, and event changes are accurately documented, communicated, and forwarded for billing.
Encourage repeat business, anniversary stays, reunions, future celebrations, referrals, and return visits through exceptional planning and execution.
Balance revenue opportunities with value, operational capacity, profitability, and long-term client relationships. Financial, Administrative & Planning Responsibility
Maintain organized event files and planning records and ensure required information is completed according to established timelines.
Assist with event revenue forecasting, budgeting, cost awareness, vendor review, and financial performance analysis as requested.
Review event details for accuracy and identify discrepancies that could negatively affect revenue, cost, service delivery, or guest satisfaction.
Support billing accuracy by documenting approved changes, additions, guarantees, cancellations, concessions, and event-related charges.
Monitor event-related expenses and work with leadership to protect profitability without compromising approved service standards.
Protect confidential guest, client, associate, vendor, and company information. Supervisory Responsibilities
Provide leadership, direction, training, coaching, and accountability to Event Coordinators, Wedding Coordinators, seasonal event associates, interns, volunteers, or other event-support positions when assigned.
Coordinate and direct third-party vendors and contracted event partners while they are on Mountain Lake property in accordance with resort policies and approved event plans.
Provide operational direction during events when multiple departments must coordinate around a common timeline, while respecting each department leader's direct authority over their associates.
Assist with training associates on event standards, BEO interpretation, guest-service expectations, planning timelines, quality checks, and cross-department communication.
Provide feedback to the Assistant Hotel Manager regarding staffing, training, performance, vendor, and operational opportunities identified through event planning and execution.
Performance Metrics & Annual Bonus Criteria Performance and annual bonus eligibility, when applicable, may be evaluated using a combination of individual, departmental, and resort results. Specific annual goals, weighting, eligibility requirements, and payout criteria are established by management and may change based on the approved operating plan.

Ensure event plans consider guest safety, occupancy, emergency access, weather, accessibility, food and beverage requirements, vendor activity, traffic flow, and other operational risks.
Communicate safety or facility concerns promptly and work with Facilities, Security, Food & Beverage, and resort leadership to resolve issues before guest arrival whenever possible.
Follow Mountain Lake policies regarding contracts, alcohol service, incident reporting, vendor access, guest privacy, property protection, and emergency response.
Ensure accidents, incidents, guest concerns, vendor issues, and other material event matters are documented and escalated according to resort procedures.
Participate in Manager on Duty responsibilities, resort emergency response, inspections, or other operational support when scheduled or assigned.

Minimum three years of progressive hotel, resort, catering, conference services, wedding, or event management experience preferred.
Previous hotel or resort catering experience is required, including direct experience with tastings, event planning, banquet operations, and creation of Banquet Event Orders.
Demonstrated experience coordinating weddings, group functions, catered events, and complex multi-department events.
Experience with festivals, resort programming, destination events, or large-scale special events strongly preferred.
Strong written and verbal communication skills with the ability to communicate professionally with clients, guests, vendors, associates, and leadership.
Excellent organizational skills, attention to detail, follow-through, and ability to manage multiple events at different stages of planning simultaneously.
Ability to lead meetings, resolve conflicts, make sound decisions, and remain calm in fast-paced or high-pressure event environments.
Working knowledge of hotel or resort operations, food and beverage service, banquet setup, event timelines, guestroom considerations, and event billing preferred.
Proficiency with Microsoft Office and event, catering, property-management, or related hospitality systems preferred.

This is a full-time salaried/exempt management position with a typical workweek of 45 or more hours; actual hours will vary based on business levels and event requirements.
Nights, weekends, holidays, weddings, festivals, special events, and seasonal peak periods are required and are a regular part of the position.
Most administrative and planning work is performed indoors in offices, meeting rooms, banquet spaces, and other resort facilities.
Outdoor work is required for ceremonies, festivals, recreation-related events, guest activities, inspections, and other functions in varying mountain weather conditions.
Regular walking and standing throughout event venues and resort areas is required, along with frequent computer, telephone, and administrative work.
The position may require bending, reaching, and occasional lifting, carrying, pushing, or pulling of event materials, signage, supplies, or equipment up to 30 pounds.
A company-issued cell phone and work laptop are provided for business use.
