School Tour Coordinator Job Summary:
The School Tours Coordinator brings the excitement of Weaver's Orchard to life by creating fun, educational, and memorable experiences for school groups and visitors. This role coordinates reservations, communicates with teachers, organizes tour schedules, and leads a team of seasonal tour guides to ensure every visit is engaging, organized, and enjoyable.
We're looking for someone who is energetic, outgoing, organized, and passionate about working with children. The ideal candidate enjoys leading a team, thrives in a fast-paced environment, and loves creating unforgettable experiences while sharing the story of agriculture.
What You Will Do:
Tour Program Planning & Development Collaborate with ownership, management, and other departments to review and improve the educational tour program. Update tour content, activities, and procedures as needed to meet the needs of visiting groups. Assist Human Resources with hiring, interviewing, onboarding, and training seasonal tour guides. Tour Scheduling & Communication Manage school and group tour bookings through Bookeo scheduling software. Maintain accurate availability, pricing, activities, and reservation information. Communicate with teachers and group leaders regarding scheduling, expectations, special accommodations, and tour details. Confirm upcoming tours and address any last-minute changes. Create tour guide schedules based on group size and daily needs. Develop daily tour schedules and assignments for guides. Tour Day Operations Oversee daily tour preparation, including: Coordinating set up of tour stations and activities. Ensuring materials and supplies are available and organized. Communicating with departments supporting tours, including cider, bakery, hayrides, office staff, and other operational areas. Welcome students, teachers, and chaperones upon arrival. Lead the tour experience when needed and serve as a backup tour guide. Monitor tour flow and troubleshoot challenges, including schedule changes, delays, staffing needs, and unexpected issues. Assist with moving materials, adjusting schedules, and supporting guides throughout the tour day. Ensure groups receive necessary payment information and coordinate payment collection with office staff. Oversee cleanup and reset of tour areas following each group. Team Leadership & Customer Experience Provide guidance, support, and feedback to seasonal tour guides. Promote a positive, safe, and engaging learning environment for students and visitors. Maintain a professional and welcoming relationship with schools, teachers, families, and coworkers.
Minimum Qualifications:
Must be at least 21 years of age. Excellent communication and interpersonal skills with the ability to interact positively with students, teachers, customers, and coworkers Strong organizational skills with the ability to manage multiple priorities and deadlines Ability to work independently while also collaborating with a team Ability to adapt, problem-solve, and make decisions in a fast-paced environment
Preferred Skills/Experience:
Experience working with children, schools, or educational programs Experience leading tours, presentations, or public speaking Previous leadership or supervisory experience Experience using scheduling or reservation software
Primary Responsibilities:
Provide excellent customer service and create a welcoming experience Maintain a calm, professional attitude when handling unexpected situations Demonstrate strong attention to detail and organization Be flexible and willing to assist wherever needed Be open to feedback and continuous improvement Demonstrate enthusiasm for agriculture, education, and working with children Physical requirements: Ability to lift and carry 25-50 pounds Ability to stand and walk for extended periods during 4-6 hour shifts Ability to walk throughout the orchard Ability to project voice clearly in outdoor and group environments Ability to operate a golf cart Physical appearance: Due to the customer-facing nature of this position, employees are expected to maintain a neat, clean, and professional appearance consistent with Weaver's Orchard standards. Dress is casual but should be appropriate for interacting with school groups, customers, and visitors. Additional expectations are outlined in the Employee Handbook.
Schedule & Structure:
This is a part-time, seasonal position with varying hours based on tour schedules.
Tour Season:
Fall Tours:
Approximately mid-September through early November Monday-Friday, primarily during school hours.
Spring Tours:
Approximately late April through May/early June Wednesdays, Thursdays, and Fridays.
Summer Tours:
Occasional tours scheduled throughout the summer, typically Wednesdays-Fridays.
Off-Season Responsibilities:
Winter preparation work includes tour planning, scheduling, communication, and program updates. Some administrative work may be completed remotely; however, occasional onsite meetings and office work will be required (approximately 3 hours per week during the off-season).
Typical Tour Hours:
Approximately 8:15 AM - 3:00 PM on scheduled tour days. The Coordinator must be onsite for all scheduled tour days.
