RFA Clerk/Utilization Review Coordinator
Job Description
Job Summary Our office is seeking a detail-oriented and organized RFA Clerk / Utilization Review Coordinator to manage Requests for Authorization (RFAs) and coordinate Utilization Review (UR) activities for workers' compensation patients. The ideal candidate will have strong attention to detail, excellent follow-through, and experience working with workers' compensation authorizations, medical offices, or insurance/UR departments. This position requires someone who can manage multiple requests, meet deadlines, communicate professionally, and accurately document all RFA and UR activity. Responsibilities Process and submit Requests for Authorization (RFAs) for workers' compensation patients. Review RFAs and supporting medical documentation for completeness and accuracy. Verify patient, treating physician, facility, treatment, and other required information before submission. Submit RFAs through the appropriate workers' compensation system, including DaisyBill when applicable. Monitor pending RFAs and follow up with UR departments, adjusters, claims administrators, and other parties. Review authorization responses and identify approvals, partial approvals, modifications, delays, and denials. Obtain and maintain authorization and denial letters. Track RFA submission dates, response dates, authorization numbers, and expiration dates. Request authorization extensions when appropriate. Maintain accurate RFA/UR tracking logs and patient records. Document phone calls, emails, follow-up attempts, and authorization updates. Identify missing information or documentation and coordinate obtaining what is needed. Correct and resubmit RFAs when necessary. Communicate authorization status to physicians, attorneys, scheduling staff, and other appropriate personnel. Assist with authorization-related scheduling issues. Prioritize urgent and time-sensitive requests. Maintain patient confidentiality and follow office policies and procedures. Perform other administrative duties as assigned. Qualifications Previous experience with workers' compensation, RFAs, Utilization Review, medical authorizations, or medical office administration preferred. Experience using DaisyBill or similar workers' compensation platforms strongly preferred. Knowledge of workers' compensation terminology and processes. Strong attention to detail and accuracy. Excellent organizational and time-management skills. Ability to manage multiple tasks and meet deadlines. Strong written and verbal communication skills. Professional and courteous communication with attorneys, adjusters, UR departments, physicians, and medical facilities. Ability to work independently and follow established procedures. Computer proficiency and ability to learn new software systems. Ability to maintain confidentiality of patient and medical information. Ideal Candidate The ideal candidate is organized, dependable, detail-oriented, and proactive . This position requires someone who takes ownership of their workload, follows up on outstanding RFAs, responds to emails and communications in a timely manner, and does not allow authorization requests to go unresolved.
