Payroll & Benefits Administrator (English/Chinese)
Job Description
We are seeking a detail-oriented Payroll & Benefits Administrator to manage biweekly payroll and employee benefits across companies. This role partners with employees, Human Resources, Finance, payroll providers, brokers, carriers and retirement-plan administrators to ensure accurate processing, timely filings and regulatory compliance
Key Responsibilities:
Payroll Administration
- Process and reconcile biweekly payroll for multiple entities, including time records, PTO, bonuses, deductions and employee changes.
- Process new hires, transfers, leaves, terminations and final payments.
- Maintain payroll records and respond to employee questions, wage verifications, tax notices and unemployment requests.
- Coordinate payroll funding, reports and quarter-end and year-end activities with Finance and the payroll provide Benefits, Retirement and Insurance Administration
- Administer medical insurance, retirement and pension plans, COBRA, enrollments, changes, terminations and employee inquiries.
- Serve as the primary contact for employees, benefits brokers, insurance carriers and plan administrators.
- Prepare and reconcile pension contribution worksheets, employee deductions, employer contributions and census data for each payroll period.
- Submit contribution files on time; investigate and correct missing or inaccurate pension contributions.
- Prepare annual workers' compensation and statutory disability payroll worksheets, employee classifications and supporting records.
- Coordinate insurance renewals, annual filings and premium audits with brokers, carriers, accountants and auditors.
- Reconcile benefit invoices, payroll deductions and insurance data and maintain complete audit records Leave, Disability and Workers' Compensation
- Administer FMLA, New York Paid Family Leave, statutory disability and workers' compensation claims.
- Provide required forms and notices, track deadlines and documentation, and coordinate payroll, benefits and return-to-work updates.
- Support onboarding, status changes and offboarding and provide timely, confidential employee service Compliance and Reporting
- Maintain accurate payroll, benefit, leave and insurance records, calendars and checklists.
- Prepare required reports, notices and supporting documents for audits and government or carrier requests.
- Ensure contributions, filings and annual reports are submitted accurately and on time; promptly escalate compliance concerns. Qualifications
- Bachelor's degree in Human Resources, Business Administration, Accounting or a related field preferred.
- At least 2 years of hands-on payroll and benefits administration experience.
- Experience with health insurance, pension contributions, workers' compensation, disability and employee leave administration.
- Knowledge of applicable New York payroll and benefits laws, including Paid Family Leave and statutory disability requirements.
- Experience working with payroll providers, brokers, carriers and retirement-plan administrators.
- Strong Excel skills, including formulas, lookups and reconciliations; Fingercheck or similar HRIS experience preferred.
- Strong accuracy, organization, confidentiality and follow-through; professional English and Chinese communication required.
