Duties/Responsibilities:
Leave Management:
Administer all leave requests and approvals, including but not limited to FMLA, ADA, short-term and long-term disability, Workers' Compensation, and state-specific leaves (NY Disability, NY Paid Family Leave, Ohio Workers' Compensation, NY Prenatal time, etc.) for United Refining Company and its subsidiaries.
Ensure timely and accurate processing of leave requests, employee notifications, and required documentation.
Track leave eligibility, usage, and balances in accordance with federal, state, and company guidelines.
Compliance:
Maintain up-to-date knowledge of relevant federal, state, and local leave laws and regulations, including FMLA, ADA, and state-specific leave laws.
Ensure compliance with all applicable laws, regulations, and company policies when managing leave requests and approvals.
Partner with legal and HR leadership to implement changes to policies and procedures as necessary based on legislative updates.
Employee Communication & Support:
Serve as the primary point of contact for employees and managers regarding leave requests, questions, and status updates.
Provide clear, accurate information to employees about their rights and responsibilities under applicable leave laws and policies.
Assist employees with completing leave-related paperwork and ensure confidentiality and sensitivity in handling personal medical information.
Initiate and lead the ADA interactive process when warranted and follow up appropriately with documentation.
Coordination with
Benefits & Payroll:
Coordinate with payroll and benefits teams to ensure accurate tracking of time off, leave-related deductions, and benefits continuation.
Collaborate with workers' compensation team and disability insurance providers to ensure smooth claims management and timely processing of benefits.
Monitor employee return-to-work dates, handle extensions, and coordinate with managers to ensure smooth reintegration into the workplace.
Documentation & Reporting:
Maintain accurate records of all leaves, communications, and documentation in accordance with company policies and legal requirements.
Prepare and analyze reports on leave utilization, trends, and compliance for management review.
Support:
Keep up to date on any changes in Federal, State or company policies and advise the HR team accordingly.
Work with the HR and legal teams to resolve any complex leave cases and provide guidance or accommodation under ADA or other applicable laws.
Required Skills/Abilities:
Excellent organizational skills with attention to detail
Strong communication and interpersonal skills, with the ability to handle sensitive situations with empathy, professionalism, and confidentiality.
Ability to manage multiple tasks and priorities in a fast-paced environment
Familiarity with payroll processes and benefits coordination including Collective Bargaining Agreements.
Programs/Equipment Used:
Microsoft Office (Excel, Outlook, Word, etc.)
ADP payroll system
Required Education and Experience:
Bachelor's degree in human resources, business administration, or related field preferred. Equivalent experience considered.
Strong understanding of FMLA, ADA, workers' compensation, and state specific leave laws.
Preferred Education and Experience:
3-5 years of experience in leave administration, HR, or benefits management.
