Talent Sourcing Direct is looking for a HR Administrative Assistant for one of our clients located in the city of Monrovia.
Position Summary:
The Human Resources (HR) Administrative Assistant will receive direction and training, as well as work closely with the Human Resources Generalist on daily HR tasks, but will report directly to the Director of Human Resources. The HR Administrative Assistant is responsible for managing the daily tracking of time and attendance for all non-exempt (hourly) employees. As well as scanning and filing, updating departmental records and systems, responding to HR general inquiries, conducting new hire orientation and managing the monthly review process for all company employee reviews. The HR Administrative Assistant will practice complete discretion and safeguarding of confidential information. This position will utilize confidential information, Confidentiality Agreement is strictly enforced.
Essential Functions:
Track daily time and attendance for all non-exempt (hourly) employees. Review daily time and attendance and send discrepancies to HR department. Send notifications to employee and/or employee's lead/supervisor regarding missing clock in/out punches. Follow up as needed. Collect time edit forms and enter into electronic time and attendance system. File forms according. Follow up on any employee call offs as necessary. Scan and file all HR, Payroll, and other required department documents into the company electronic filing system. Assist in maintaining accurate electronic systems and files by updating and entering data in a timely manner.
On payroll weeks:
sort payroll checks and timesheets and distribute to department leads/supervisors. Track the return of signed timesheets. Follow up on missing timesheets. Scan and file into electronic filing system. Work with temporary agencies and other agencies as needed. To include but not limited to: Collect signatures on weekly temp timecards and send their hours to the respective agencies. Notify agencies if a temp employee has called off. Manage all employee performance review processes. Send review notifications and required review forms to department leads/supervisors. Track reviews through review process. Send final review notifications in DocuSign. File completed reviews into the electronic filing system. Track completed reviews. Human Resources Administrative Assistant Support Human Resources Department by fielding and responding to general inquiries in a timely manner. Communicate with department when a response requires escalation. Assist HR Department with the distribution and tracking of policies and procedures. Assist with recordkeeping by preparing and distributing sign-in sheets among departments to collect signatures and store in electronic filing system. Data entry and data compiling as required/requested. Prepare new hire documentation. Conduct new hire orientation as needed (temp employees and direct employees), review paperwork, enter information into electronic HR/Payroll system and file in a timely manner. Prepare benefit enrollment packets. Assist HR Department with company training program. Coordinate quarterly company meetings and other company events. Book catering for event. Coordinate set up for event with other departments and/or outside sources. Other duties as required for company events. Update company Organization Chart and Contact List as needed. May be required to attend and take notes in employee disciplinary meetings, investigation meetings, termination meetings, and other meetings as required, type up notes and send to HR Generalist and/or Director of HR for review. Set up documents in DocuSign as needed. Assist HR Department with other tasks as needed. May be asked to assist with other non-HR department projects on an as needed basis. Cover front desk as needed. Other duties as assigned.
Skills, Knowledge, Training and Education:
Minimum of 1-year experience in Human Resources or similarly aligned field. High school diploma is required. Some college is preferred. Attention to detail is required. Willing to learn and attend Human Resources seminars and/or webinar training. Experience with a HRIS system a plus but not required. Roncelli is willing to train. Excellent verbal and written communication, as well as presentation skills. Must have satisfactory experience in
Microsoft Office:
Word, Excel, PowerPoint, Outlook. Strong planning, organization, and strategic thinking skills. The ability to demonstrate a positive employer-employee relationship and promote a high level of employee morale and motivation. Punctual and reliable is a must. Able to maintain strict confidentiality and operate with extreme discretion.

Work Environment:
The work is typically performed in an office environment using standard office equipment including a computer. The office working environment is generally favorable. Lighting and temperature are adequate, and there are minimal hazardous or unpleasant conditions caused by noise, dust, etc. However, individuals in this position are occasionally exposed to large machinery/equipment while moving through the shop and use of personal protective equipment, such as safety glasses, may be required. The shop environment is clean with well-ventilated production areas and moderate noise levels. Overall, work is generally sedentary in nature although moving about both inside and outside of the office and shop work areas may be required.
