MDIS MDIS, LLC
is a Metro Detroit low-voltage systems integrator specializing in CCTV, access control, structured cabling, audiovisual systems, and related technology solutions. The Role MDIS is hiring a Human Resources and Office Administrator to manage the people-related and administrative functions that keep our company running smoothly. This is a hands-on, in-office position combining human resources administration, payroll, office management, executive support, vendor coordination, and general business administration. You will serve as a central point of coordination for employees, ownership, managers, technicians, and outside vendors. This is a true "wear many hats" role for someone who enjoys variety, creates structure, follows through, and makes sure important details do not fall through the cracks. We are looking for an HR-focused administrative professional with sound judgment, strong employee-relations instincts, and the discretion to handle sensitive personnel matters while applying company policies consistently and professionally. Previous HR Experience is strongly preffered.
What You Will Own:
Human Resources and Employee Support Coordinate recruiting from job posting through hire, including reviewing applications, conducting initial screens, scheduling interviews, communicating with candidates, and coordinating approved offers, references, background checks, and start dates. Manage new-hire onboarding, employment forms, payroll and benefits enrollment, handbook acknowledgments, orientation, system access, and company property. Maintain confidential personnel files and track employee records, certifications, training, and policy acknowledgments. Own and administer the company's performance-review process and calendar. Coordinate employee self-evaluations, peer evaluations, and manager feedback; prepare review materials; schedule review meetings; and ensure evaluations are completed thoroughly and on time. Maintain documentation of performance expectations, accomplishments, development needs, employee goals, and agreed-upon follow-up actions. Support the annual and interim compensation-review process by compiling performance feedback, compensation history, attendance information, and other relevant documentation. Prepare raise, bonus, and compensation-change recommendations for ownership review, document approved decisions, communicate changes professionally, and ensure approved updates are reflected accurately in payroll and employee records. Serve as an initial resource for employee questions involving policies, PTO, payroll, benefits, performance expectations, and company procedures. Support managers with coaching, corrective actions, performance-improvement plans, and employee separations. Help resolve interpersonal conflicts and workplace concerns by serving as a professional, impartial third party. Listen to the individuals involved, document relevant facts, facilitate constructive conversations, and work toward a fair and practical resolution. Escalate serious, sensitive, or unresolved matters to ownership or qualified advisors when appropriate. Payroll, Timekeeping, and Benefits Prepare and process accurate, on-time payroll, including regular wages, overtime, bonuses, reimbursements, deductions, and approved adjustments. Review time entries, missed punches, PTO, overtime approvals, and payroll exceptions. Work with employees and managers to resolve discrepancies before payroll is finalized. Coordinate benefits enrollments, changes, terminations, employee communications, invoice reconciliation, and supporting records. Assist with year-end reporting, workers' compensation documentation, and payroll or insurance audits. Office and Executive Support Support ownership and managers with calendars, meetings, reminders, correspondence, reports, action-item tracking, and special projects. Help leadership stay ahead of deadlines and unresolved administrative matters. Oversee daily office needs, including phones, visitors, mail, packages, supplies, shared files, office equipment, building access, and facility vendors. Maintain a professional, organized, and well-supplied workplace. Handle sensitive employee, leadership, financial, and company information with discretion. Planning and coordination of company parties, events, and charity functions. Bills, Payments, and Vendor Administration Receive, verify, code, route, and enter vendor bills in NetSuite while following company approval procedures. Track outstanding bills, organize receipts, process expense reports, and assist with company credit-card reconciliation. Log customer checks, prepare approved deposits, retain payment records, and assist with payment application and accounts-receivable follow-up as assigned. Serve as an administrative contact for payroll, benefits, insurance, facility, fleet, technology, and professional-service vendors. Coordinate service appointments, billing questions, certificates, renewals, contracts, and follow-up items. Insurance, Licensing, and Fleet Administration Maintain organized records for workers' compensation, commercial automobile, general liability, property, and other company insurance. Assist with certificates of insurance, claims documentation, employee-injury reporting, renewals, and annual audits. Track company licenses, registrations, permits, and Michigan business-filing deadlines. Maintain vehicle and authorized-driver records, registrations, titles, insurance cards, fuel cards, maintenance schedules, and related documentation. Technician and Operational Support Provide administrative support for the morning technician kickoff and end-of-day closeout. This may include confirming attendance, communicating approved priorities, collecting timesheets and job documentation, identifying missing information, and tracking follow-up items. Help surface unresolved technician or customer issues and confirm that administrative needs are addressed for the following day. This position supports field operations but is not primarily responsible for field scheduling, project purchasing, warehouse inventory, material staging, or project readiness. Processes and Continuous Improvement Maintain company policies, job descriptions, forms, templates, checklists, and administrative procedures with ownership approval. Track recurring deadlines and responsibilities using calendars, Monday.com, and other company systems. Identify inefficient or inconsistent workflows and create practical, repeatable processes that improve communication, documentation, and accountability. The goal is to make the company less dependent on memory, informal conversations, or any one employee. Coordinate with accountants, attorneys, insurance representatives, payroll providers, and other advisors when specialized guidance is needed. What Success Looks Like You will be successful in this role when: Recruiting, onboarding, payroll, bills, renewals, and other recurring responsibilities stay on schedule. Performance reviews are done on time and professionally, with a high focus on employee satisfaction and retention. Employees and managers know where to go for reliable administrative support. Records are accurate, confidential, organized, and accessible to authorized users. Leadership commitments, deadlines, and follow-up items remain visible and move forward. Administrative issues are identified and escalated before they become emergencies. Ownership has confidence that employee, financial, vendor, fleet, and office matters are under control. Preferred Qualifications Previous experience in human resources, office management, payroll, executive support, business administration, or a related position is preferred. Strong administrative professionals who are organized, discreet, and willing to learn HR processes will also be considered. Excellent judgment, professionalism, and ability to handle confidential information. Strong written and verbal communication skills, including comfort conducting interviews and participating in difficult employee conversations. Highly organized, detail-oriented, and able to manage multiple deadlines and recurring responsibilities. Comfortable working directly with ownership, managers, employees, technicians, vendors, and outside advisors. Proficiency with Microsoft Office and Google Workspace. Experience with NetSuite, Monday.com, payroll systems, timekeeping platforms, or applicant-tracking systems is a plus. Practical problem-solving skills and comfort working in a growing small-business environment where priorities can change. Schedule and Location This is a full-time, in-person position at the MDIS office in Royal Oak, Michigan. The regular schedule is Monday-Friday, 8:00 a.m.-5:00 p.m. This is not a remote or hybrid position. The person hired for this role will have a private office.
