HUMAN RESOURCES COORDINATOR
at Saline Area Schools
JOB DESCRIPTION
Under the direct supervision of the Assistant Superintendent of Human Resources, and in collaboration with the Human Resources team, the HR Coordinator provides complex and confidential administrative support across a broad range of human resources functions. This role serves as the District's McKinney-Vento Liaison, manages payroll and time-keeping accuracy, substitute and student-teacher staffing, onboarding, and background-check compliance, while serving as a key point of contact for faculty, staff, students, and families. The HR Coordinator also helps ensure that district activities comply with legal, administrative, and Michigan Department of Education and Saline Area Schools policy requirements. This is a full-time, year-round position.

QUALIFICATIONS
Required Education/Certification
High School Diploma or GED
Preferred Education/Certification
Associate's or Bachelor's degree from an accredited college or university
College-level coursework in human resources
Preferred Experience
Successful experience with office management and procedures in a related area of Human Resources.
Advanced proficiency with Google Workspace applications, including Docs, Sheets, and Drive
RESPONSIBILITIES & DUTIES
Compliance & Records
Serve as the district's McKinney-Vento Liaison, partnering with the WISD to ensure proper protocols, identification of eligible students, and full compliance with federal and state requirements.
Oversee Livescan fingerprinting agency implementation and serve as the point of contact for the State of Michigan Criminal History Record Internet Subscription (CHRISS) and iCHAT systems.
Review, evaluate, and strengthen the district's volunteer and staff criminal history background check processes to safeguard compliance and reduce liability.
Maintain accurate, real-time staffing records, including tenure status, and ensure records are audit-ready.
Support the human resources team in ensuring all activities align with legal, administrative, and Michigan Department of Education and district policy requirements.
Payroll & Time Management
Accurately process bi-weekly Edustaff payroll, including seasonal and coaching staff pay.
Oversee the hourly time clock system, keeping punches current and accurate to ensure correct and timely payroll.
Maintain and regularly reconcile absence management records.
Collaborate with the HR team on recurring processes such as payroll, W-2s, and contract roll-overs.
Staffing & Workforce Coordination
Manage daily substitute procurement using district technology, coordinating daily, long-term, and special-assignment placements to keep classrooms covered.
Serve as the district-wide point of contact for student teacher, intern, and observer placements, coordinating with universities and ensuring all onboarding and background-check requirements are met.
Manage job vacancies, including posting openings on the district website and supporting the hiring process.
Support new-hire onboarding, ensuring paperwork, credentials, and compliance requirements are completed accurately and on time.
Partner with departments across the district, including the enrollment team and athletic department, to standardize and strengthen hiring and staffing practices.
Service & Operations
Provide exemplary customer service to visitors, callers, and email and fax communications, serving as a knowledgeable and professional first point of contact for HR matters.
Identify opportunities to streamline and improve HR workflows, including digitizing forms and processes to increase efficiency, accuracy, and speed.
Technology & Data Management
Advanced proficiency with Microsoft Office, particularly Excel and Word, and Google Workspace, including Sheets, Docs, Drive, Forms, Calendar, and Gmail.
Use spreadsheets to create, maintain, reconcile, and analyze data, including developing formulas, sorting and filtering, identifying discrepancies, and producing accurate reports.
Manage and maintain electronic records, databases, shared drives, and digital forms with accuracy, confidentiality, and strong organization.
Demonstrate strong attention to detail when entering, reconciling, and reporting data across multiple systems.
Quickly learn and navigate new software and district systems with minimal assistance, and troubleshoot routine issues independently.
Proficiency, or the ability to quickly develop proficiency, in district systems including NewWorld Systems, RedRover, PowerSchool, SparkHire, and Edustaff.

Effectively utilize district technology resources, computer network systems, and relevant software to support district operations and the HR function.

Prioritize, organize, and manage multiple responsibilities while meeting established deadlines and adapting to changing priorities.

Maintain organized work areas, accurate records, effective routines, and efficient time-management practices that align with district and school expectations and maximize efficiency.
Maintain a safe, orderly, inclusive, and emotionally supportive working environment.
Effectively manage and maintain resources, technology, equipment, and materials to support responsible stewardship of district resources.
ADDITIONAL DUTIES
Performs other related duties, as assigned, for the purpose of ensuring the efficient and effective functioning of the human resources department and Saline Area Schools.

TRAVEL
Limited travel to school district buildings and professional meetings as required.
WORK SCHEDULE
Year-round position working Monday through Friday, approximately 7:00 AM - 3:30 PM.

SALARY
Starting at $45,684 per year, commensurate with experience
