Job Description

Talent Administrator Human Resources | Full-Time | On-Site (up to 30% travel) | Waxahachie, TX Why Join Us? At Americase our people are the foundation of everything we build. Position Summary This position assists with a variety of HR tasks and processes in person , across multiple sites , including maintaining employee and recruiting records, preparing and processing HR documentation, coordinating onboarding activities, supporting temporary staffing and recruiting efforts, and assisting with employee-related inquiries and HR programs. The Talent Administrator works closely with multiple members of the Talent Team to ensure HR processes are organized, accurate, timely, and effectively communicated, playing an important role in supporting the day-to-day operations of the HR team. Primary Duties & Responsibilities Human Resources Administration Assists the Talent Team with various administrative tasks, including scanning documents and auditing HR files and spreadsheets. Serves as an initial point of contact for employees regarding benefits, login issues, and technical issues. Assists with payroll support for MieTrak errors and pending leave requests, following up with managers regarding time discrepancies. Drafts and documents HR SOPs and policies. Supports the review, updating, and distribution of the employee handbook and individual policies. Supports employee engagement initiatives, recognition programs (e.g., anniversaries, birthdays, and performance recognition), and company events. Responsible for badge distribution for employees and visitors. Maintains employee and recruiting records in the HRIS and other systems. Assists with HR reporting, audits, and compliance activities. Assists with benefits enrollment communications and HR-related employee inquiries. Provides administrative support for performance management, training, and other HR programs. Ensures confidentiality and proper handling of sensitive employee information. Temporary Workforce Support Supports the Talent Team through the full life cycle of temporary employees, including onboarding support, assignment tracking, and internally escalating requests for extensions, conversions, and terminations. Monitors temporary labor usage, headcount, costs, and assignment durations. Maintains accurate records of temporary workforce activity and provides regular reporting to management. Supports the enforcement of company policies and applicable employment regulations related to contingent workers. Recruiting, Onboarding & New Hire Support Assists with the recruitment process for hourly, salaried, and professional positions as needed. Schedules interviews and coordinates communication between candidates and hiring managers as requested. Supports candidate experience initiatives throughout the hiring process. Coordinates pre-employment activities, including background checks, reference checks, drug screens, and employment verification processes. Coordinates new hire onboarding activities and orientation scheduling. Prepares onboarding documentation and ensures completion of required employment forms. Assists in coordinating equipment, system access, and training requirements for new employees. Required Skills Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams). HRIS and applicant tracking system (ATS) proficiency. Ability and flexibility to travel up to 30% of the time to other company sites. Document management and digital filing systems. HR reporting, data entry, and recordkeeping. Strong verbal and written communication abilities. Discretion and confidentiality with sensitive information. Professional presence and internal customer-facing composure. Time management and ability to manage competing priorities. Relationship-building with agencies, managers, and candidates. Education & Experience Minimum Qualifications Associate's degree in Human Resources, Business Administration, or a related field required, or equivalent experience. 1-2 years of experience in human resources, high volume staffing, or workforce coordination. Proven proficiency with Microsoft Office Suite and digital scheduling/calendar systems. Preferred Qualifications HR certifications such as PHR or SHRM-CP. Manufacturing or industrial environment experience preferred. Familiarity with HRIS platforms (ADP, Workday, or similar) and applicant tracking systems (ATS). Experience supporting multi-department HR functions at a production or warehouse facility. Bilingual English/Spanish a plus in alignment with site workforce demographics.
