Full-Time | Temporary-to-Hire About Men's Wellness Centers Men's Wellness Centers is a physician-led, concierge men's wellness business serving members throughout Virginia with clinics in Richmond, Virginia Beach, and Newport News, as well as growing telehealth services. We specialize in hormone optimization, men's sexual health, medical weight loss, preventative care, and longevity medicine. As we continue to grow, we are seeking a detail-oriented operations professional with a strong human resources background to own the core people functions across our clinics: recruiting, staff scheduling, payroll, and provider credentialing. This role is the day-to-day point of contact for hiring managers, team members, providers, and our payroll and human resources partner. It is built for someone who takes pride in filling open roles quickly, keeping every clinic fully staffed, making sure every team member is paid accurately and on time, and keeping every provider credential current. Position Summary The Operations Coordinator manages the employee cycle from job posting to paycheck. The role owns recruiting and onboarding, builds and maintains staff schedules for every clinic, prepares payroll, commissions, and bonuses for accurate, on-time processing, and keeps provider credentials and renewals current. The role also supports clinic operations through inventory coordination, vendor and supply purchasing, laboratory certificate tracking, and standard operating procedures. The successful candidate is organized, deadline-driven, comfortable operating as a one-person human resources function supported by modern tools and an outside payroll and benefits partner, and handles confidential personnel and pay information with complete discretion. Primary ResponsibilitiesRecruiting and Onboarding
  • Post open positions on job boards, career sites, and school career services, and keep postings current.
  • Screen resumes and applications against role requirements and move qualified candidates to hiring managers quickly.
  • Schedule interviews, coordinate interviewers across clinics, and manage all candidate communications from application through offer.
  • Maintain the applicant pipeline and report open positions, candidate status, and time to fill to leadership each week.
  • Build relationships with staffing partners and local training programs, including medical assistant programs, to keep a steady candidate pipeline.
  • Prepare offer letters, new hire packets, and employment agreements, and coordinate background checks and Form I-9 employment eligibility verification.
  • Coordinate new hire onboarding, including first-day logistics, system access requests, required training, and new hire reporting to our payroll and human resources partner. Scheduling
  • Build, publish, and maintain weekly staff schedules for the Richmond, Virginia Beach, and Newport News clinics, aligned with clinic hours and staffing requirements.
  • Coordinate provider and clinical team schedules within the minimum coverage requirements set by clinical leadership.
  • Manage time-off requests, shift swaps, and call-outs, and arrange coverage so no clinic operates below required staffing.
  • Review every schedule for coverage gaps, overtime risk, and single-person shifts before it is published, and escalate unresolved gaps to operations leadership.
  • Administer the scheduling and timekeeping system, including employee setup, schedule templates, and clock-in rules.
  • Track scheduled versus actual hours and report overtime, attendance, and labor hours by clinic. Payroll
  • Collect and review timesheets each pay period, resolving missing punches, edits, and discrepancies with team members and managers before the payroll deadline.
  • Prepare and submit payroll through our professional employer organization's payroll platform accurately and on schedule.
  • Calculate commissions, bonuses, and incentive compensation, and enter them on time for each payroll.
  • Process new hires, pay rate changes, status changes, and separations in the payroll system, including final pay.
  • Review payroll registers and reports for completeness and accuracy, and reconcile hours, pay, and labor cost by clinic.
  • Process employee expense reports and reimbursements.
  • Maintain payroll records and support payroll audits and year-end reporting. Credentialing
  • Maintain credentialing files for physicians, nurse practitioners, and physician assistants, including state licenses, Drug Enforcement Administration registrations, National Provider Identifier records, board certifications, and malpractice insurance.
  • Track license, registration, certification, and insurance expiration dates, and start renewals well ahead of deadlines.
  • Coordinate credentialing for new providers, including license verification, required practice agreements, and document collection before the first scheduled shift.
  • Set up and maintain provider accounts with pharmacies, laboratories, and other clinical vendors, including authorized user access by clinic.
  • Track required certifications for clinical team members, such as Basic Life Support, phlebotomy, and medical assistant certifications.
  • Confirm providers have active credentials before they are scheduled, and escalate expiring or missing items to clinical leadership. Operations Support
  • Coordinate scheduled inventories across clinic locations, including assignment of counts, collection of results, reconciliation of discrepancies with responsible staff, and reporting to leadership.
  • Coordinate purchasing and vendor relationships for office supplies, furniture, office equipment, non-pharmaceutical medical supplies, and administrative services.
  • Coordinate the administrative aspects of Clinical Laboratory Improvement Amendments (CLIA) compliance, including tracking certificates and renewal dates, organizing testing, quality control, calibration, and maintenance records supplied by clinical staff, and escalating missing items or deadlines to clinical leadership.
  • Document and maintain standard operating procedures, checklists, and training guides, starting with recruiting, scheduling, payroll, and credentialing processes.
  • Maintain the company SharePoint site and SharePoint lists, including accurate records, access coordination, and timely updates from responsible teams.
  • Identify opportunities to simplify, standardize, and automate repetitive administrative work using Microsoft 365 and AI tools.
  • Support office expansion and cross-functional operational projects. Supporting Human Resources Administration
  • Maintain accurate, confidential personnel files and human resources records.
  • Coordinate offboarding, including exit paperwork and removal of employee access to company systems and applications.
  • Support benefits enrollment and administration with our payroll and human resources partner.
  • Support compliance with federal and Virginia employment requirements, including required postings, wage and hour rules, and recordkeeping. Required Qualifications
  • 2+ years of human resources experience.
  • Full-cycle recruiting coordination experience, including job postings, candidate screening, interview scheduling, offer letters, and onboarding.
  • Experience building and managing staff schedules for multiple locations or shift-based teams.
  • Hands-on payroll preparation experience, including timesheet review, pay changes, and payroll submission.
  • Experience calculating commissions, bonuses, or incentive compensation.
  • Working knowledge of federal and Virginia wage and hour rules, including overtime and Form I-9 requirements.
  • Advanced Microsoft Excel skills and strong working knowledge of Microsoft 365, including Word, Outlook, Teams, and SharePoint, with experience maintaining SharePoint lists.
  • Excellent written communication and organizational skills.
  • High level of professionalism, confidentiality, and attention to detail. Preferred Qualifications
  • Experience in a medical practice or medical spa setting.
  • Provider credentialing experience, including state licenses, Drug Enforcement Administration registrations, and National Provider Identifier records.
  • Experience with Insperity or another professional employer organization.
  • Experience with workforce scheduling and timekeeping software.
  • Experience with applicant tracking systems and job boards such as Indeed.
  • Experience supporting a growing multi-location organization.
  • Experience documenting business processes and standard operating procedures.
  • Experience using AI tools such as ChatGPT or Microsoft Copilot. The Ideal Candidate

Compensation $48,000 to $55,000 per year, based on experience. The position begins as a temporary assignment, with the expectation of conversion to a full-time salaried position following a successful temporary period.
