CASE COORDINATOR

At LTE Care Plus, our ABA Case Coordinator connects families and therapists across diverse communities, and your language ability helps us serve Chinese-speaking families with the care and clarity they deserve. WHAT YOU'LL OWN
Scheduling and Staffing Match ABA therapists (BTs/RBTs) with clients based on availability, location, language, and clinical fit, including pairing Mandarin- or Cantonese-speaking families with the right support. Build and maintain accurate weekly and monthly schedules for every active therapist and client. Jump on schedule changes fast, handling cancellations, time-off requests, and client updates with same-day turnaround when needed. Keep an eye on therapist caseloads so no one gets overextended, and every session stays covered. Authorization and Compliance Track authorization hours across every active case and flag upcoming expirations before they become a problem Make sure authorized hours are used within approval windows to protect both compliance and revenue. Keep case management records sharp, accurate, and audit-ready Support documentation that aligns with Medicaid and insurance requirements Communication and Coordination Be the go-to person for therapists on scheduling logistics, availability, and case assignments. Partner with BCBAs and clinical supervisors so session plans align with treatment goals and supervision availability Keep families in the loop with professional, timely updates on scheduling and session changes, including Mandarin- or Cantonese-speaking families who feel more comfortable communicating in their native language Team up with intake to make new client onboarding seamless from authorization to first session Flag staffing gaps or scheduling conflicts to your supervisor before they turn into bigger issues Data and Reporting Keep scheduling data clean and accurate across every platform you touch (EHR, scheduling software, spreadsheets) Build and share weekly scheduling reports that give leadership real visibility Spot trends in cancellations or no-shows that help shape smarter workforce planning
WHAT YOU BRING
Must haves High school diploma required, Associate's or Bachelor's degree a plus Fluency in Mandarin or Cantonese, spoken and written, strongly preferred 1 to 2 years in scheduling, care coordination, administrative operations, or similar Healthcare, behavioral health, home care, or ABA experience strongly preferred Proven ability to juggle multiple priorities in a fast-paced environment without dropping the ball Comfort with scheduling systems, EHR or case management platforms, and Microsoft Office / Google Workspace Sharp communication skills, written and verbal, with clinical staff, families, and leadership alike An eagle eye for detail because small errors in this role have big ripple effects Nice to haves Familiarity with Medicaid authorization processes and service hour tracking Experience with ABA-specific platforms like Central Reach, Catalyst, or Theralytics Additional bilingual ability in English/Spanish or English/Haitian Creole is a plus.
