In office ; Monday to Friday ; 9am to 5pm w/ a split 3:2 Queens to Long Island Queens office (111-02 Jamaica Ave) and Long Island office (4N Jerusalem Avenue, Hicksville.) Employing roughly 4,300 caregivers across New York City and Long Island, we're seeking a compassionate, detail-driven People Coordinator who will support the onboarding process and be the first person our aides meet when they walk through the door. About the Position As the Onboarding Specialist, you'll help build and run onboarding for our Queens and Long Island location. Operating as a member of the Talent team, you will be the local point of contact for PeopleCare's caregiver applicants. It will be the responsibility of the Onboarding specialist to keep documentation audit-ready, and make sure no one who walks through our door, is left without help. Responsibilities Process onboarding paperwork with strict attention to accuracy and completeness — every credential, certification, and compliance document must be verified against NYS and LHCSA requirements before a file is considered complete. Communicate clearly and calmly with candidates, aides, and colleagues, including when a compliance issue requires a direct conversation. Answer phones that are routed to the office, providing healthy effective communication and support to candidates and employees. Track candidates and maintain records in Arla (ATS) and HHAeXchange (CRM) — keep candidate status, credentials, and documentation current and accurate across both systems so recruiting and compliance teams are always working from the same information . Greet and assist aides who walk into the Queens and Long island office, following documentation procedures consistently — every must be logged the same way, every time, with no shortcuts. Serve as a point of contact for onboarding and documentation questions. Coordinate with teams such as compliance and coordination. Keep documentation continuously audit-ready — files must be current, accurate, and organized to withstand a state or agency audit at any time. Flag missing, incomplete, or expiring credentials proactively in Arla and HHAeXchange proactively. Represent PeopleCare at job fairs, community events, and other field recruiting activities as needed — engage prospective candidates on-site, speak knowledgeably about open roles and the onboarding process, and follow up promptly on leads collected. Manage incoming email correspondence from the onboarding inbox — respond promptly and accurately to applicants, aides, and colleagues from other departments, and route or escalate messages that fall outside your scope. Prepare candidates for required verifications — walk applicants through what to expect for fingerprinting, background checks (CHRC), and related consent forms, ensuring all forms are signed, accurate, and submitted correctly before the process moves forward Availability required in both boroughs — this role is not remote and not hybrid. Take on additional responsibilities as assigned by the VP of People or Talent Manager. Qualifications Required Must be legally authorized to work in the United States. PeopleCare does not sponsor employment visas for this position. 2+ years of experience in HR, People, onboarding, staffing, or a high-volume administrative coordination role Bilingual in English and Chinese - required Strong Accurate and detail-oriented skill Clear, calm communication skills with candidates, aides, and colleagues Comfortable working within a structured operating system (we run on EOS) Available to work in both Queens & Long Island — this seat covers two offices Preferred Experience in home care, healthcare staffing, or LHCSA settings Familiarity with HHAeXchange and Arla (ATS) or a comparable platform
