Full-Time Position Overview:
Metropolitan Veterinary Academy is seeking a dependable, highly organized, and professional Administrative Assistant to support the Program Director and the daily administrative operations of the Veterinary Technician program. This position is ideal for an individual who is detail-oriented, communicates effectively, manages multiple priorities with accuracy, and enjoys supporting students, faculty, and leadership in a fast-paced academic environment.
Key Responsibilities:
Administrative Support:
Provide day-to-day administrative support to the Program Director, including scheduling, correspondence, document preparation, filing, and follow-up on assigned tasks. Maintain organized electronic and paper records, calendars, meeting materials, and program documentation. Prepare and format letters, reports, forms, spreadsheets, presentations, meeting agendas, and other administrative materials. Assist with telephone calls, email correspondence, appointments, visitors, and general inquiries in a professional and timely manner. Coordinate meetings, maintain calendars, and assist the Program Director with deadlines and administrative priorities.
Program & Compliance Support:
Assist with maintaining accurate academic and administrative records for the Veterinary Technician program. Support preparation, organization, and maintenance of documents required for institutional, state, accreditation, and program compliance. Track required documentation and assist with ensuring records are complete, current, organized, and readily available for review. Maintain confidentiality of student, employee, institutional, and other sensitive information.
Student & Faculty Support:
Provide professional administrative assistance to students, instructors, and staff and direct questions to the appropriate department or individual. Assist with student communications, schedules, forms, records, and other program-related administrative needs. Support faculty with routine administrative needs, classroom documentation, and coordination of program activities. Collaboration with
Staff:
Work closely with the Program Director, Campus Director, instructors, admissions, student services, and other Academy personnel to support efficient program operations. Communicate professionally with Metropolitan Veterinary Hospital personnel and other internal and external partners as needed. Assist with special projects and other administrative duties assigned by the Program Director.
Qualifications:
High school diploma or equivalent required; associate degree or additional administrative education preferred. Previous administrative assistant, office support, academic support, or related professional experience preferred. Strong written and verbal communication skills. Excellent organizational skills and attention to detail with the ability to manage multiple priorities and deadlines. Proficiency with Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint. Ability to maintain confidentiality and exercise professionalism and sound judgment. Ability to work effectively with students, faculty, leadership, hospital personnel, and external partners. Schedule & Work Environment Full-time position Monday-Friday, 9:00 a.m.-5:00 p.m. In-person position at Metropolitan Veterinary Academy - Highland Heights Professional academic environment connected to the Metropolitan Veterinary Hospital emergency and specialty hospital
