07/2026 Job Summary The Deputy Register of Probate & Court Recorder performs a variety of specialized administrative, clerical, and court support functions for the Probate and Family Court Divisions. Responsibilities include maintaining accurate court records; assisting petitioners with guardianship, conservatorship, probate, small estate, adoption, name change, juvenile, and mental health proceedings; scheduling and coordinating hearings for the Probate Judge, attorneys, and parties; and preparing court orders, legal documents, certified copies, and related case records. This position is responsible for receiving and processing court filings and payments, including petitions, annual accounts, inventories, restitution, and certified copy fees; accepting wills and trusts for safekeeping; maintaining official court records; recording court proceedings and preparing accurate hearing log notes; and responding to telephone and in-person inquiries regarding Probate and Family Court procedures. The Deputy Register of Probate & Court Recorder exercises sound judgment, maintains strict confidentiality, and provides courteous and professional service while ensuring compliance with applicable statutes, court rules, and established court policies. Essential Functions and Responsibilities The following duties are primarily performed and are essential for this position. Employees are expected to be able to perform each of these job duties satisfactorily and successfully to be qualified for the position. Other duties may be required and assigned. Receive, review, process, and file petitions, pleadings, court orders, inventories, annual accounts, guardianship reviews, notices of hearing, proofs of service, mental health petitions, juvenile matters, neglect and abuse cases, and other court documents. Open new case files, maintain electronic and paper case records, and enter case information into the court case management system. Review court filings for completeness, accuracy, and compliance with applicable court rules, statutes, and procedures. Schedule and coordinate Probate and Family Court hearings with the Probate Judge, attorneys, petitioners, and other parties. Maintain the court calendar and update hearing information in case management systems, office calendars, and court records. Notify parties of scheduled hearings and provide procedural information regarding court appearances. Attend Probate and Family Court proceedings and operate electronic recording equipment. Record accurate electronic log notes during court proceedings and prepare or process post-hearing documents and court orders. Prepare, process, and issue legal documents, letters of authority, certified copies, notices, and other official court records. Receive, process, and accurately account for court-related payments, including filing fees, annual accounts, inventories, restitution, certified copies, and other authorized fees. Prepare fee transmittals, financial reports, and related accounting documentation in accordance with established procedures. Review and process invoices and billing requests for guardian ad litem services, juvenile matters, and probate proceedings. Accept and maintain wills, trusts, and other documents deposited with the court for safekeeping. Respond to telephone, email, and in-person inquiries from the public, attorneys, and other agencies regarding Probate, Family, Juvenile, and Mental Health Court procedures, providing procedural information without offering legal advice. Maintain court files, records, reports, accounts, inventories, and related documentation, ensuring records remain current, accurate, confidential, and readily accessible. Operate and maintain standard office and courtroom equipment, including computers, electronic recording systems, telephones, copiers, scanners, printers, audiovisual equipment, and other office technology. Perform general administrative and clerical duties necessary to support the efficient operation of the Probate and Family Court.
Minimum Education Qualifications Education:
Required:
Highschool diploma or equivalent.
Preferred:
Associate's degree or higher in legal/paralegal studies, criminal justice, public administration, business administration, or related field.

Two or more years of experience in a legal, judicial, or related environment.

Michigan Certified Electronic Recorder (CER) certification within one year of hire. Minimum Knowledge, Skills, and Abilities Qualifications In order to perform the functions and responsibilities of the position (listed above) the following knowledge, skills, and abilities are essential. Knowledge of probate, family, and juvenile court operations, procedures, and terminology. Knowledge of applicable Michigan statutes, Michigan Court Rules, and court administrative procedures. Knowledge of probate case types, including guardianships, conservatorships, decedent estates, adoptions, name changes, and mental health proceedings. Knowledge of records management, document retention requirements, and court filing systems. Knowledge of fiduciary responsibilities, reporting requirements, and estate administration processes. Knowledge of office administration, budgeting, purchasing, and accounts payable procedures. Knowledge of courtroom procedures and electronic court recording systems. Knowledge of modern office practices, business correspondence, and customer service principles. Knowledge of confidentiality requirements and ethical standards applicable to court operations. Strong organizational and time management skills with the ability to manage multiple priorities and deadlines. Excellent written and verbal communication skills. Strong customer service and interpersonal skills when interacting with attorneys, judges, court personnel, litigants, and the public. Proficiency in Microsoft Office Suite and other office software applications. Ability to accurately review, process, and maintain legal documents and court records. Skill in data entry, records management, and report preparation. Skill in scheduling hearings, maintaining calendars, and coordinating court proceedings. Ability to operate and troubleshoot electronic recording equipment and other office technology. Strong attention to detail and accuracy in reviewing legal filings, financial reports, and court documents. Ability to maintain confidential and sensitive information. Ability to interpret and apply statutes, court rules, policies, and procedures. Ability to analyze documents for completeness, accuracy, and compliance with legal requirements. Ability to establish and maintain effective working relationships with judges, attorneys, fiduciaries, court staff, government agencies, and the public. Ability to communicate complex procedural information clearly and professionally. Ability to exercise sound judgment and discretion when handling confidential and sensitive matters. Ability to work independently with minimal supervision while also functioning effectively as part of a team. Ability to prioritize workload and adapt to changing demands in a fast-paced court environment. Ability to prepare accurate reports and maintain detailed records. Ability to maintain professionalism and composure when dealing with difficult or emotionally charged situations. Ability to attend training and obtain Michigan Certified Electronic Recorder (CER) certification within one year of hire.
