Full Job Description Construction Document Controller Position Summary:
We are seeking a highly organized and detail-oriented Document Controller to manage, maintain, and distribute project documentation throughout all phases of construction. This position is responsible for ensuring that all project records are accurate, current, properly filed, and readily accessible to project teams. The ideal candidate will work closely with Project Managers, Estimators, Engineers, Architects, Vendors, Subcontractors, and Clients to maintain efficient document control processes that support successful project execution. Essential ResponsibilitiesDocument Management Organize, maintain, and control all project documentation, including drawings, specifications, contracts, permits, RFIs, submittals, change orders, meeting minutes, correspondence, shop drawings, warranties, closeout documents, and as-built drawings. Maintain accurate document logs, registers, and tracking systems. Ensure proper revision control and maintain complete document history. Archive completed project documentation in accordance with company policies. Document Distribution Receive, review, and distribute incoming and outgoing project documents. Verify document information including titles, revision numbers, dates, and distribution lists. Ensure all project team members have access to the latest approved documentation. Maintain transmittal records and document distribution logs. Submittals, RFIs & Project Tracking Prepare and distribute project transmittals. Track the status of submittals, RFIs, approvals, and revisions. Follow up on outstanding documentation to help keep projects on schedule. Coordinate document updates resulting from approved changes. Project Coordination Work closely with Project Managers and project teams to maintain accurate project documentation. Communicate with architects, engineers, consultants, subcontractors, vendors, and clients regarding document requirements and updates. Assist in coordinating project correspondence and documentation between departments. Compliance & Quality Assurance Ensure documentation complies with company standards, project requirements, and established document control procedures. Maintain confidentiality of sensitive company and project information. Support internal audits and quality control initiatives as needed. Document Management Systems Maintain both electronic and hard-copy filing systems. Upload, organize, and retrieve documents using document management software Ensure digital files are organized, searchable, and properly archived. Project Closeout Assemble project closeout documentation. Coordinate collection of warranties, manuals, certifications, inspection reports, and as-built drawings. Prepare final document packages for project turnover and long-term record retention. Qualifications Minimum of 2-3 years of experience in document control, project administration, construction administration, or a related role. Experience working in the construction, engineering, architecture, or property management industry preferred. Strong organizational skills with exceptional attention to detail. Ability to manage multiple projects and deadlines simultaneously. Excellent written and verbal communication skills. Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and Adobe Acrobat. Ability to work independently while collaborating effectively with multiple departments. Preferred Qualifications Knowledge of construction documentation and project workflows. Familiarity with RFIs, submittals, change orders, permits, contracts, and project closeout documentation. Experience supporting multiple active projects simultaneously. Understanding of document revision control and records management best practices.
