Full-Time Role Overview Our team is looking for a meticulous and structured Document Specialist to bolster our operational and project-based workflows. By overseeing the lifecycle of company records, project files, and digital assets, you will play a vital role in upholding our documentation standards, ensuring that all information remains accurate, compliant, and easily retrievable to facilitate seamless project delivery. Core Duties Oversee the systematic arrangement of both digital and hard-copy filing structures Handle the review, processing, and dissemination of essential project paperwork Monitor document updates to guarantee that version control remains precise Provide support to engineering, operations, and project management staff by fulfilling their information retrieval needs Help maintain a organized digital archive by scanning and uploading records in line with internal protocols Draft professional correspondence, project reports, and necessary documentation Help maintain a high standard of compliance by ensuring all files meet internal policies and client specifications Manage the approval workflow for documents while keeping a log of all finalized actions Promote quality assurance by validating the completeness and accuracy of files prior to their release Assist with general administrative and clerical tasks to ensure office efficiency Requirements Completion of high school or a GED is mandatory An associate degree or equivalent administrative background is preferred Prior experience in office administration or document control is highly desirable Proficiency in computer software, specifically Adobe PDF, Microsoft Outlook, Excel, and Word Exceptional ability to manage time and organize complex tasks Keen eye for detail and a commitment to precision Capacity to maintain strict confidentiality regarding sensitive information Strong proficiency in both written and verbal communication Ability to thrive both as an independent contributor and a collaborative team member Preferred Qualifications Background using specialized document management software Prior work history within the manufacturing, engineering, construction, or energy sectors Understanding of established document control and records management practices
