Loan Administration Documentation Specialist
Position Summary We are seeking a detail-oriented and customer-focused Loan Administration & Documentation Specialist to support the ongoing administration of the lending portfolio. This role plays a critical part in ensuring loan files are accurate, complete, and compliant while providing exceptional service to borrowers and internal stakeholders. Key Responsibilities of the Loan Administration Documentation Specialist
Review completed loan files to verify accuracy, completeness, required signatures, and adherence to company policies and lending guidelines.
Maintain loan records, collateral documentation, and supporting information within loan servicing and tracking systems.
Monitor loan documentation exceptions and coordinate resolutions with lending, closing, and administrative staff.
Track loan maturity dates and communicate upcoming renewal or extension needs to appropriate team members.
Process loan payoff requests and prepare collateral release documentation upon satisfaction of loan obligations.
Receive and organize appraisal reports and supporting documents for management review.
Generate reports related to loan documentation status, exception items, and portfolio administration activities.
Assist with monthly loan billing and invoicing processes.
Support continuous improvement efforts by helping develop and maintain department procedures and workflows.
Review, process, and track insurance coverage associated with loan collateral.
Monitor renewal dates and communicate with borrowers regarding missing, expired, or insufficient insurance documentation.
Maintain accurate insurance records and ensure compliance with loan requirements.
Prepare periodic insurance tracking and exception reports for management.
Serve as a primary point of contact for borrower inquiries and requests.
Provide accurate information regarding loan balances, payoffs, payment processing, modifications, and maturity dates.
Assist customers with ACH payment inquiries and other servicing-related questions.
Deliver responsive, professional, and courteous service to borrowers and business partners.
Resolve issues efficiently while maintaining strong client relationships.
Qualifications
Minimum of two years of experience in customer service, loan administration, financial services, banking, or a related administrative environment required
Experience reviewing documentation and maintaining detailed records.
Knowledge of lending operations, loan servicing, collateral documentation, or portfolio management is preferred.
Bilingual Spanish skills are a plus.
Strong proficiency in Microsoft Office, particularly Excel.
