Job Description Position Summary:
Under minimal supervision, the Quality Certification Clerk is responsible for collecting, reviewing, scanning, indexing, and uploading quality certifications and related documentation into the company's ERP and document management systems. This role ensures material certifications, inspection documents, and other quality records are accurately matched to the appropriate routers, work orders, lots, and customer shipments. The Quality Certification Clerk maintains organized electronic records and supports compliance with customer, regulatory, and internal quality requirements.
Primary Duties & Responsibilities:
Collect, review, and organize quality certifications and supporting documentation from internal and external sources. Scan, upload, and attach certifications to the appropriate routers, work orders, lot numbers, and customer shipments within the ERP system. Verify that material certifications, heat treatment records, test reports, and inspection documentation are complete and accurately matched to applicable products. Retrieve and maintain process certifications and supporting quality records as required. Maintain electronic document records in accordance with company procedures and document retention requirements. Assist in preparing and distributing certification packages for customer shipments. Identify missing, incomplete, or inaccurate documentation and coordinate with Quality, Production, Purchasing, or other departments to resolve discrepancies. Support internal and external audits by locating and providing quality documentation. Understand, adhere to, and demonstrate the company's commitment to Quality and Safety. Maintain regular and punctual attendance according to shift requirements and work schedules. Perform other duties as assigned.
Required Skills:
Strong attention to detail and organizational skills. Basic proficiency in Microsoft Office applications. General computer skills, including data entry and document management. Ability to work independently and follow established procedures. Effective written and verbal communication skills. Ability to manage multiple tasks and maintain accurate records in a fast-paced environment. Experience with ERP systems and electronic document management systems preferred.
Required Experience:
0-2 years of experience in manufacturing, quality, administrative support, document control, or a related field preferred. Experience handling certifications, quality records, or other controlled documentation preferred.
Level of Education:
High school diploma or GED preferred. Associate degree in Business, Quality, Manufacturing, or a related field preferred but not required.
