100% onsite About the Opportunity An established international organization is seeking a detail-oriented Maritime Documentation Coordinator to join its growing operations team. This is an excellent opportunity for an early-career professional who enjoys structured work, learning new systems, maintaining accurate records, and coordinating detailed processes. Prior maritime experience is not required . Comprehensive training will be provided. The position operates in a fast-paced, high-volume production environment where accuracy, consistency, and dependability are essential. The successful candidate will be comfortable completing repetitive work, meeting daily productivity expectations, and identifying opportunities to improve established processes. Key Responsibilities Process and review applications and supporting documentation Enter, update, and maintain accurate information in internal databases Prepare, issue, and verify licenses, credentials, and identification documents Assemble completed certification and documentation packets Review completed work for accuracy, completeness, and compliance Track applications, work orders, and outstanding information through completion Reconcile payments and process completed work orders Scan, organize, and maintain electronic records Coordinate outgoing document shipments to international recipients Communicate with internal departments and external contacts to obtain missing information Meet established daily productivity, turnaround, and quality standards Identify documentation, workflow, or system discrepancies and escalate concerns appropriately Assist with departmental projects and process-improvement initiatives Learn multiple specialized workstations and provide cross-functional support as trained Qualifications Bachelor's degree preferred Recent graduate or approximately one to three years of relevant professional experience Administrative, documentation, data-entry, records-management, processing, customer-service, healthcare, credentialing, or operations experience Strong attention to detail and commitment to accuracy Strong analytical and technical aptitude Ability to learn new software and internal systems quickly Working knowledge of Microsoft Excel and Microsoft Office Strong written and verbal communication skills Excellent organization, follow-up, and time-management abilities Ability to work independently while remaining connected to a collaborative team Comfortable performing repetitive, high-volume work Ability to manage deadlines and daily performance expectations Professional judgment when handling confidential or sensitive information Willingness to adapt as the department updates and modernizes its processes Preferred Experience Processing applications, credentials, licenses, certifications, claims, registrations, or other official documentation Maintaining records within databases, work queues, CRM platforms, or case-management systems Reviewing documents for completeness and resolving discrepancies Working in a regulated, compliance-driven, or internationally focused environment Participating in system implementations, workflow improvements, or departmental projects Experience with Excel formulas, reconciliation, reporting, or data tracking Schedule Requirements Monday through Friday 6:30 AM-3:00 PM 100% onsite in Sterling, Virginia Occasional overtime or extended hours may be required based on business needs Applicants should carefully consider the early start time and commute before applying.
