Job Description

Job Overview Join our team as a Jail Records Clerk and become a vital part of the corrections administration process! In this dynamic role, you will manage and maintain accurate, secure, and compliant jail records, ensuring seamless information flow within the facility and with external agencies. Your expertise in document management systems, records retention, and information governance will help uphold the highest standards of regulatory compliance and data security. This position offers an exciting opportunity to contribute to public safety and justice through meticulous record-keeping and organizational excellence. Responsibilities Manage electronic and physical jail records using advanced record management systems (RMS) such as iManage, SharePoint, and content management systems to ensure accuracy and accessibility. Organize, file, and archive records following archival standards, taxonomy, metadata protocols, and archival processing guidelines to support efficient retrieval and long-term preservation. Ensure compliance with all records retention policies, regulatory requirements, and government records management standards by regularly reviewing and updating documentation procedures. Oversee document digitization processes to convert physical records into electronic formats while maintaining data integrity and information security. Conduct quality control checks including proofreading, metadata tagging, and content verification to uphold data quality standards across all records. Collaborate with internal teams to implement information governance strategies that enhance data management practices and support regulatory compliance management. Maintain detailed logs of record activities, conduct audits for records retention compliance, and prepare reports on records management performance as needed. Experience Proven experience with document management systems (DMS), record management systems (RMS), or content management systems such as SharePoint or iManage. Strong understanding of metadata schemas, taxonomy development, archival standards, and archival processing techniques. Demonstrated knowledge of government records management regulations, records retention schedules, and compliance requirements related to legal or law enforcement environments. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) for documentation and communication purposes. Experience managing physical records including filing, storage solutions, digitization projects, and archives management. Excellent organizational skills with a keen eye for detail; ability to handle multiple tasks efficiently while maintaining accuracy. Background in administrative roles involving information security practices, proofing documents for accuracy, and ensuring adherence to confidentiality protocols. Pay:
$42,000.00 - $48,000.00 per year
