Position Summary The Automations Coordinator is an AI-fluent systems builder, teacher, and communicator who turns Hope Town's day-to-day needs into practical automation, AI, and digital solutions. Reporting to the Operations Manager, this role designs and maintains workflows across Hope Town programs, supports the development and growth of Hope Town AI, and delivers AI education to staff, community members, and external audiences. From intake and reporting to staff technology support, digital media, and AI Readiness training, the Automations Coordinator helps reduce manual work, build staff capability, and keep systems consistent, documented, and usable. Equally comfortable building workflows and automations with Claude Code, working across CRM and operational systems, explaining AI to non-technical audiences, teaching a classroom, and speaking at conferences or community events, the Automations Coordinator ensures every tool and training is ethical, practical, secure, and aligned with Hope Town's recovery-centered, person-first values. Essential Duties and Responsibilities Automation and Program Systems Partner with Hope Town leadership and program leads to map procedures, identify friction, and prioritize practical automation opportunities across departments. Design, build, and maintain administrative, intake, communication, reporting, and operational workflows using Claude Code, including integrations with CRM platforms and other organizational systems as needed. Develop AI-powered tools including chatbots, knowledge bases, internal assistants, and workflow and data-integration systems. Document every system so it is maintainable, secure, and transferable, and continuously refine workflows as program needs change. AI Implementation and Governance Research, test, and implement AI tools that improve efficiency and reduce operational friction across Hope Town programs. Establish and maintain best practices for ethical AI use, data protection, confidentiality, and responsible technology adoption. Support staff adoption through training, documentation, troubleshooting, and change-management assistance. Measure and communicate the time savings, efficiency gains, and operational impact of automation initiatives. Hope Town AI and External Support Contribute to the growth and delivery of Hope Town AI services through technical assistance, training and coaching, and custom automation development. Support demonstrations, presentations, marketing efforts, and community engagements that communicate the practical value of Hope Town AI. Represent Hope Town AI at conferences, events, trainings, meetings, and partner engagements, translating technical concepts into clear, practical language for technical and non-technical audiences. Marketing, Media, Training, and Education Collaborate with leadership on organizational marketing strategy and long-term planning, identifying ways AI and digital tools can strengthen outreach and engagement. Design and develop flyers, graphics, pamphlets, promotional collateral, and other digital and print-ready assets while maintaining consistent branding, tone, and messaging. Support organizational social media through content planning, scheduling, performance review, video production and editing, and short-form and long-form content creation. Teach AI Readiness courses offered through Hope Town, delivering clear, practical instruction that makes AI accessible to learners with varying levels of technical experience. Prepare for and deliver presentations, workshops, and educational sessions at conferences, community events, partner meetings, and other Hope Town engagements. Technology and Organizational Support Maintain and manage office technology assets, including monitoring, replacing, and charging batteries for office security cameras and related devices, and helping keep core digital systems operational and up to date. Serve as a day-to-day technical resource for staff, resolving issues that interrupt workflows and helping teams use systems effectively. Support data organization, reporting, workflow standardization, grant-related documentation, and technology justification as needed. Proactively identify inefficiencies and help design organization-wide automation and agentic frameworks that reduce administrative burden and improve consistency and scalability. What Success Looks Like First 90 days: Fluent in Hope Town's programs, active systems, and automation priorities. Key workflows are documented and active automations are stable. First 6 months: Automations are operating across multiple Hope Town programs with documented efficiency gains. Staff adoption is supported with usable documentation and training, and the Automations Coordinator is independently teaching Hope Town AI Readiness courses and representing Hope Town through presentations and speaking engagements.
First year:
Hope Town has a documented, transferable automation ecosystem and organization-wide agentic framework that measurably reduces manual work, strengthens staff support, and contributes to the growth and delivery of Hope Town AI. Minimum Qualifications (Knowledge, Skills, and Abilities) Strong hands-on experience with Claude Code, including the demonstrated ability to create, build, and maintain practical workflows and automations using it. Practical experience implementing large language models and AI tools, including platforms such as ChatGPT and Claude, in real workflows. Demonstrated ability to design, build, document, maintain, and troubleshoot automation workflows and digital systems from initial concept through working implementation. Strong analytical, organizational, and problem-solving skills, with the ability to manage competing technical, training, media, and operational priorities. Must be a competent, engaging teacher and public speaker who can explain technical concepts in plain language, facilitate groups effectively, and present confidently to technical and non-technical audiences. Mission-driven mindset with genuine respect for recovery-oriented, person-centered services. Valid driver's license and acceptable driving record. Preferred Qualifications Experience in nonprofit, social enterprise, or recovery-focused environments. Familiarity with data privacy, confidentiality, and ethical technology use. Background in operations, systems design, technical assistance, digital media, or related work. Experience with GoHighLevel or other CRM platforms is a plus. Undergraduate degree in a related field preferred but not required. $55,000.00 - $65,000.00 per year
