Duties Manage and maintain attorney calendars, scheduling appointments, court dates, and meetings with precision. Prepare, review, and edit legal documents, correspondence, and reports using Microsoft Office Suite and word processing software. Handle incoming calls via multi-line phone systems with professionalism, demonstrating excellent phone etiquette and customer service skills. Organize and file legal documents, case files, and correspondence both electronically and physically to ensure easy retrieval. Assist with data entry tasks using spreadsheets and database management tools like QuickBooks for billing or record keeping purposes. Support client communication by responding promptly to inquiries, providing updates, and coordinating meetings or consultations. Perform general office management duties including supply ordering, maintaining office equipment, and overseeing front desk operations to create a welcoming environment. Utilize computer literacy and technical proficiency to streamline administrative workflows, improve productivity software use, and enhance overall office efficiency. Manage calendar schedules for attorneys and staff to optimize time management and ensure deadlines are met consistently. Provide personal assistant support as needed, including travel arrangements or special project coordination. Qualifications Proven clerical experience in an office setting with strong organizational skills. Demonstrated proficiency in Microsoft Office (Word, Excel, Outlook) along with familiarity with spreadsheets and data entry tasks. Experience working with multi-line phone systems and providing excellent customer support over the phone. Strong computer skills including general computer literacy, technical proficiency, and familiarity with productivity software. Ability to handle confidential information discreetly while maintaining professionalism in client communication. Bilingual abilities are highly desirable to serve diverse client needs effectively. Prior office management or administrative experience in a legal or professional environment is preferred. Excellent typing speed combined with effective time management skills to prioritize tasks efficiently. Knowledge of QuickBooks or similar accounting software is a plus for billing-related responsibilities. Strong organizational skills complemented by attention to detail in filing, document preparation, and calendar management.
