At Manatee RV Resort, we are committed to making every guest's experience the best it can be. We are seeking an experienced, dependable, and guest-focused Reservation / Guest Service Supervisor who enjoys working with people, takes ownership of the guest experience, and understands that exceptional hospitality starts from the moment a guest first contacts the resort. Position Mission The mission of the Reservation / Guest Service Supervisor is to excel in an environment where the guest comes first . Every aspect of this position should be performed professionally, accurately, and with a strong focus on providing impeccable customer service throughout the resort. This position plays an important role in creating and maintaining the 5-star guest experience Manatee RV Resort strives to provide every day. The ideal candidate will be organized, detail-oriented, comfortable working in a fast-paced environment, and willing to step in wherever needed to support the resort team. Key Responsibilities Greet guests and residents warmly and professionally. Answer multi-line telephone calls promptly and professionally. Respond to guest inquiries in person, by phone, and through other communication channels. Take reservations and accurately enter them into the resort's computer-based reservation system. Assist guests with directions, resort information, amenities, activities, and other property-related questions. Serve as a knowledgeable liaison between guests, residents, management, maintenance, and other resort departments. Maintain a positive attitude and provide exceptional customer service at all times. Represent Manatee RV Resort, its team members, vendors, residents, and ownership in a professional and productive manner. Assist with the overall day-to-day operations of the resort as needed. Work closely with management and fellow team members to maintain open communication and a strong team environment. Assist with opening and closing procedures and required daily documentation. Run operational reports and submit maintenance requests and work orders as needed. Assist management with entering and maintaining information within resort management software. Assist with guest information sheets, reservation inquiries, and lead tracking. Maintain accurate records of inquiries from prospective annual, seasonal, and transient guests. Document telephone conversations, visits, messages, and potential guest opportunities when appropriate. Assist with leads involving resort-owned homes and privately owned homes for sale. Work with the Resort Manager on new and pre-owned home sales as well as the rental of RV sites and vacation homes. Collect rent, reservation payments, deposits, and required resident or tenant documentation. Maintain strict control of cash, credit cards, payments, and other financial information in secured areas. Assist with processing late notices and required postings. Maintain resort office files in accordance with company policies and applicable state and local requirements. Inventory and order office supplies and coordinate maintenance of office equipment. Protect guest and resident privacy and ensure confidential information is handled appropriately. Conduct daily site checks for occupancy verification and appearance standards . Identify and report curb appeal, maintenance, or safety concerns throughout the resort. Evaluate potential safety issues, including trip hazards, lighting concerns, broken furniture or equipment, and other unsafe conditions. Submit work orders and immediately communicate significant safety concerns to management. Maintain resort equipment and golf carts in a clean, safe, and orderly manner. Ensure keys to resort buildings, equipment, and other secured areas are properly controlled. Comply with company safety procedures and applicable
SDS/MSDS
chemical-control standards. Complete required safety, operations, reservation platform, and company-policy training in a timely manner. Comply with applicable Federal, State, and Local requirements and help ensure guests, residents, vendors, and team members are treated consistently and professionally. Assist with required lender reporting and compliance procedures when applicable. Meet established deadlines and maintain a dependable work schedule. Perform additional duties as assigned by resort management. Guest Service & Reservations A major part of this position is creating an exceptional experience from the guest's first phone call or reservation inquiry through their arrival and stay . We are looking for someone who understands that answering the phone professionally, following up with potential guests, accurately managing reservations, and taking the time to assist people can directly impact both guest satisfaction and resort occupancy. The Reservation / Guest Service Supervisor should actively look for opportunities to turn inquiries into reservations while maintaining a friendly, helpful, and service-focused approach. Has strong organizational skills and excellent attention to detail. Can manage multiple responsibilities and priorities throughout the day. Understands the importance of accurate reservations, payments, reporting, and recordkeeping. Takes pride in the appearance and overall operation of the resort. Is dependable and understands the importance of being present when scheduled. Is willing to assist outside their normal responsibilities when necessary to help the team and the resort succeed. Experience & Skills Previous customer service, hospitality, hotel, campground, or RV resort experience preferred. Previous supervisory or team-lead experience preferred. RMS reservation system experience is a plus. RV resort or campground experience is a strong plus. Strong written and verbal communication skills. Excellent interpersonal and guest-service skills. Computer literacy is required. Comfortable using Microsoft Office and computer-based reservation and property-management systems. Ability to learn new software and operational platforms. Strong organizational and time-management skills. Excellent attention to detail. Ability to accurately handle payments, reservations, reports, and confidential guest information.
