Job Overview Join our family owned HVAC company as an HVAC Installation Coordinator, where you will play a vital role in orchestrating the seamless planning and execution of installation projects. This energetic position requires a proactive approach to project coordination, ensuring that all aspects of HVAC installations are managed efficiently from start to finish. You will collaborate closely with project managers, field technicians, suppliers, and clients delivering exceptional team support and customer service. You will also provide support to Office manager, Operations manager and Business owner, as needed. Responsibilities Coordinate HVAC installation schedules with clients, co-workers and subcontractors. Place equipment orders based on scope of work, maintain purchase orders, review vendor invoices and verify equipment for accuracy when received. Maintain meticulous records of project activities and change orders using project management software. Coordinate project scheduling adjustments as needed to address unforeseen delays or issues. Facilitate effective communication among all parties to ensure clarity on project scope, timelines, and safety protocols. Answer incoming calls and forward to the appropriate department or team member. Jump in where necessary to assist team members with daily tasks such as scheduling service appointments or site evaluations. Qualifications 3-4 years experience in HVAC installation coordination , required. Experienced in the use of scheduling software Solid MS Word and Excel skills. QuickBook's experience, a plus. Strong data entry, typing and organizational skills Energetic, enthusiastic, positive demeanor and strong interpersonal skills. Strong ethical conduct and ability to use sound judgement to maintain confidential and sensitive information. Demonstrated ability to manage multiple projects simultaneously while adhering to deadlines through effective time management practices.
