Maintenance Administrative Assistant We are seeking a highly organized, detail-oriented, and customer-focused Maintenance Administrative Assistant to join our growing team. Position Overview The Maintenance Administrative Assistant plays a vital role in coordinating maintenance operations for a large residential property portfolio. This position serves as the primary point of contact for maintenance requests, working closely with tenants, property owners, vendors, and our maintenance technicians to ensure repairs are completed efficiently and professionally. Key Responsibilities Receive and process maintenance requests from tenants. Coordinate and schedule maintenance appointments with vendors Communicate repair updates with tenants and property owners. Monitor work orders from start to completion and ensure timely follow-up. Obtain vendor estimates and coordinate owner approvals when required. Maintain accurate maintenance records and documentation. Process invoices and verify completed work. Prioritize emergency maintenance requests appropriately. Assist with preventative maintenance scheduling. Provide exceptional customer service while maintaining professionalism during challenging situations. Perform general administrative duties to support the property management team. Qualifications Previous administrative or office experience preferred. Property management or maintenance coordination experience preferred but not needed Excellent verbal and written communication skills. Strong organizational and multitasking abilities. Ability to work independently and prioritize competing deadlines. Proficient in Microsoft Office and comfortable learning property management software. Strong attention to detail and problem-solving skills. Positive attitude with a commitment to outstanding customer service. Ability to remain calm and professional in a fast-paced environment.
