Summary The Facilities Maintenance Manager is responsible for overseeing Facilities Maintenance and systems at all company-owned and managed asset levels. The asset types include clubhouse, golf and grounds, pool, pond, restaurant, bar, and administrative office. This pivotal role will ensure that all facilities are safe, functional, and well-maintained, contributing to the overall quality of life for our residents.
Essential Duties:
Direct Reports include the Facilities Maintenance Team, which includes Techs, Electrician(s), and the Custodial Team. Management of Service Request intake and work order management, delegation of work, and tracking of completion. Review and approve estimates, purchase orders, invoices, pay apps, and lien releases daily. Contract negotiations for facilities-related scopes. Verify all work is completed to a satisfactory level. Apply for Permits and attend inspections with local government agencies and/or board(s). Oversee annual facilities site audits. Responsible for budgeting annual capital projects and R&M. Provide direction for 3rd Party and In-House Preventative Maintenance Plans. Work with Purchasing and Operations teams to RFP and contract service-related vendors when necessary. Examples include, but are not limited to, Landscaping, G&G, Fire Systems, Pools, Ponds, Structural, Glass, Parking Lot Maintenance, etc. Develop and oversee the scheduling and deployment of required inspections for Fire Safety and Emergency Systems. Provide support during company development activities, including acquisitions, dispositions, and new builds. Prepare assets for natural disasters and emergencies. Compliance with Fire Systems Inspections, Repair, Upgrades, and Fire Systems Monitoring. Design and/or Maintenance of online Asset Database. Cataloging equipment purchase date, serial, model numbers, warranty information, and end-of-life projections. Responsible for recommending annual and long-term Capital plans for each department. Setup and/or assist with project management tracking for the execution of approved budgeted projects. Source appropriate vendors. Responsible for deploying Preventative Maintenance Inspections on a quarterly basis. Deployment of Major capital projects and emergency fixes
Roofs, Hot Water, HVAC, Fire Alarm/Sprinkler, Parking Lot/Sidewalks, Fences, Pools, Exterior Lighting, Landscaping.
Water Leaks:
Identify water leaks and put measures in place to stop leaks. Oversite of Energy/Water efficiency projects, including lighting retrofits and water leak detection. Monitoring, tracking, and keeping within the facility's budget. Mitigating risk and overseeing safety and security. Consistent adherence to SOP. Provides CE to teams. Works with the Director of Human Resources to oversee coaching & counseling, performance reviews, appropriate disciplinary actions, and written warnings with documented accuracy. Inspecting the facility routinely to look for issues. Overseeing all contractors that work with the facility. Works closely with the Compliance Officer, ensuring the facility complies with relevant laws, regulations, and safety standards. Handling long-range planning to support future needs and growth. Approving weekly timecards and appropriate payroll preparation, completed and provided to HR within the time frame given biweekly. Helping with plans for renovations, additions, or new buildings Qualifications 5-7 years of management experience of a multi-site property portfolio. (Required) 3-5 years of experience in a supervisory capacity. (Required) Basic knowledge of electrical, plumbing, carpentry, air conditioning, and kitchen equipment. Possess a strong knowledge and operational skills with life safety systems, wet and dry, fire pumps, and controls. Knowledge of building management systems and work order software. Ability to work in a fast-paced, deadline-oriented environment. Great attention to detail. Strong electrical and mechanical background in maintenance operations of commercial properties. General knowledge of all construction phases and local building and safety codes. Must be able to read blueprints. Ability to quickly identify and resolve problems. Excellent communication skills, both written and verbal. Excellent PC skills (Excel, Word) and online internet reporting; skill in preparing and maintaining records, writing reports, and responding to correspondence. Sitting, standing, walking, bending, climbing stairs, kneeling, and lifting up to 50 lbs. Work varied shifts, including weekends and holidays PRN. Certificates and Licenses
Must have a current, valid Arizona driver's license, EPA Universal, CPO Certification.
Equipment Utilized Power tools and maintenance equipment, such as HVAC, pool pumps, power saws, drills, power washers, paint rigs, compressors, vacuum cleaners, floor buffers, gas blowers, etc. May drive a golf cart or Association vehicle. Software Utilized PC Supervisor Responsibility All positions within the facilities maintenance area.
