The Quality Assurance & Scheduling Coordinator ensures that all clients receive consistent, high-quality care that meets agency standards and funding source requirements. This position combines detailed scheduling coordination with quality assurance, compliance monitoring, and documentation review to support VA, Medicare, Medicaid, and local senior levy program guidelines. The role ensures the agency remains audit-ready and compliant while maintaining exceptional client satisfaction and caregiver engagement.

Job Responsibilities:
Scheduling:

Manage daily/weekly caregiver schedules, aligning them with client care plans, funding, and service hours. Urgently handle call-offs, coverage needs, and client/caregiver changes.

Staffing:

Match caregivers to clients based on skills, location, and funding. Maintain accurate scheduling data for billing and payroll.

Quality Assurance:

Manage routine client/caregiver check-ins for service quality, visit adherence, punctuality, and documentation. Resolve service issues, escalating concerns when necessary. Participate in quarterly QA, developing corrective action plans and monitoring metrics (missed visits, satisfaction, retention).

Compliance:

Ensure compliance with VA, Medicare (non-medical), Medicaid waiver, and senior levy programs.

Audit Support:

Audit client files (care plans, authorizations, visit notes) and caregiver compliance (qualifications, training) per funding standards. Verify visits align with approved service authorizations. Assist with internal/external audits. Monitor documentation for timely billing/reimbursement and maintain audit-ready records and help develop better compliance tracking.

Communication & Coordination:

Liaise between clients, caregivers, and funding agency case managers (VA, county levy, etc.); promptly communicate schedule updates, service changes, and care concerns. Coordinate with HR/Recruiting for new caregiver onboarding, training, and program integration. Support billing/payroll with accurate scheduling and visit verification.

Administrative & Reporting:

Generate and review weekly reports (service delivery, QA, compliance). Maintain client/caregiver records in agency software. Support Director of Operations with data for audits, licensing, and renewals. Participate in continuous improvement and team meetings.

Travel:

Limited travel as needed for various sales, marketing, and client care service needs. Must have reliable transportation to meet the needs of position and scope of job responsibilities.

Education & Certifications:

High school diploma or equivalent degree Associates and/or Bachelor Degree; may substitute Degree requirement with a combination of education/experience; and minimum of two years' experience as Administrator and/or managing sales, customer service, and human resources functions within an office setting Valid drivers license Valid state required proof of auto insurance

Preferred Skills:

Ability to work autonomously in a fast-paced environment Comfortable working with technology Experience with direct recruitment, hiring, and oversight of frontline employees Strong interpersonal and communication skills Proficient in Google Workspace (Gmail, Meet, Calendar, Docs, Sheets, etc.)
