Maximus Law is seeking a professional, organized, and outgoing Marketing Associate to support front-office operations, coordinate company events, and assist with administrative and marketing activities. The ideal candidate is dependable, detail-oriented, and comfortable communicating with employees, vendors, clients, referral partners, and visitors. This position requires someone who can maintain a welcoming and professional office environment while managing multiple responsibilities and ensuring events and daily operations run smoothly. Key ResponsibilitiesReception and Administrative Support Greet visitors, clients, vendors, and business partners in a friendly and professional manner. Answer, screen, and route incoming calls and messages to the appropriate department. Maintain a clean, organized, and professional reception area, conference rooms, and common areas. Assist with filing, data entry, document preparation, scanning, copying, and general office organization. Receive, sort, and distribute mail, packages, deliveries, and office materials. Maintain office calendars and assist with scheduling meetings, appointments, and conference rooms. Provide administrative support to management and other departments as assigned. Maintain confidentiality when handling company, employee, and client information. Event Coordination Coordinate Lunch & Learn sessions, office meetings, employee events, community outreach activities, and promotional events. Communicate with vendors, caterers, presenters, and attendees regarding scheduling and event details. Prepare event spaces, including tables, chairs, refreshments, presentation materials, signage, and supplies. Confirm food deliveries and ensure attendees receive meals and required materials. Remain available during events to support presenters, address concerns, and ensure activities run smoothly. Clean and restore event spaces after each event, including disposing of trash, wiping surfaces, organizing furniture, and properly storing or discarding leftover food. Maintain event calendars, attendance records, vendor information, and event-related documentation. Inventory and Office Operations Assist the Office Manager with keeping the inventory room clean, organized, labeled, and properly maintained. Track office supplies, event materials, marketing items, merchandise, and promotional materials according to established procedures. Notify management when inventory or office supplies need to be replenished. Receive and organize incoming supply and merchandise deliveries. Help ensure company property and materials are accurately documented and stored. Marketing and Community Support Assist the marketing team with promotional materials, review-generation initiatives, community outreach, and special projects. Help distribute and track Google Tap Review cards and other promotional materials. Support networking events, business development activities, and referral partner visits when requested. Represent the company professionally at office events and community activities. Assist with maintaining contact lists, event records, lead information, and follow-up notes. Required Skills and Abilities Excellent verbal and written communication skills. Friendly, professional, and customer-service-oriented demeanor. Strong organizational, time-management, and multitasking abilities. Ability to remain professional and organized in a busy office environment. Strong attention to detail and follow-through. Ability to work independently and collaboratively. Comfortable communicating with vendors, visitors, employees, and business partners. Basic proficiency with Microsoft Office, Google Workspace, email, calendars, and office equipment. Ability to learn company databases, CRM platforms, and internal tracking systems. Reliable attendance, punctuality, and professional appearance. Bilingual English and Spanish skills are preferred but not required. Education and Experience High school diploma or GED required. Associate degree in Business Administration, Communications, Hospitality, Marketing, or a related field is preferred but not required. One or more years of experience in reception, administrative support, customer service, hospitality, or event coordination is preferred. Experience in a law firm, staffing agency, medical office, or other professional office environment is a plus. Experience coordinating meetings, catering, office events, or vendor services is preferred. Physical Requirements Prolonged periods of sitting and working at a computer. Frequent standing, walking, bending, and moving throughout the office. Ability to lift, carry, and organize materials weighing up to 25 pounds. Ability to move lightweight furniture, prepare event spaces, and organize supplies. Ability to operate standard office equipment. Occasional local travel may be required for company events, vendor coordination, or community outreach.
