The Marketing Administrative Assistant manages all day-to-day duties required to maintain a smooth-functioning office environment and must work with minimal instruction or supervision. The Assistant is responsible for the following: Must be comfortable using office equipment, computers, copier, calculator, etc. Ability to understand CPAC policies and procedures clearly and accurately. Maintains confidentiality of reports. Establish and maintain effective working relationships with the Executive Director and Assistant Executive Director, CPAC members and alternates, the media, business professionals, and the general public. Possess knowledge of social media platforms and marketing trends. Compile data from Federal-State inspection certificates and prepare daily summary reports. Input data for assessments per hundredweight for all handlers. File individual inspection certificates alphabetically by handler. Receive daily potato prices. Maintain official documents and records in appropriate files. Issue Certificate of Privileges and Fingerling Exemptions, record and file them. Answer the phone, speak clearly, and greet the public in a friendly and courteous manner. Take phone messages for the Executive and Assistant Directors. Attend monthly CPAC Board meetings and assist the Assistant Director in recording minutes Deliver weekly, monthly, and year-end reports as needed. Work with the Assistant Director to prepare and mail end-of-month statements for CPAC and Potatoes USA assessments. Issue checks, attach original invoices to duplicate copy of the check for the permanent record. Maintain a file of paid invoices. Work closely with the Assistant Director on any other accounts payable activities. Post checks to accounts and maintain proper reports Work closely with the Assistant Director on any other accounts receivable activities, including weekly bank deposits Assist Executive and Assistant Directors with coordinating gifts and events (Annual Dinner, Potato Festival, Ag Conference, etc. as needed). Help the Assistant Director with scholarship awards and various yearly programs. Proficient in using email, Excel, Word, PowerPoint, and other basic Microsoft programs Capable of using basic office tools, including email, a copier, and a calculator. Keep abreast of current trends, practices, and developments in the potato industry. Respond to inquiries from the public when requested information is known. Track office supplies Maintain a clean office space. Assume other special activities and responsibilities from time to time as directed. Responsible for taking pictures at various CPAC events and activities and uploading them. These photos should be used as a tool on social media and the website to keep our audiences updated on recent events. Website Management, including daily updates of the market report. Continuously updated website with current information and removal of outdated materials. Manage Facebook, Twitter, LinkedIn, Instagram, and Pinterest pages. Research industry trends, potato nutrition, recipes, and post on relevant social accounts.
