•The Village Community Presbyterian Church is seeking a Worship Coordinator to support our Worship and Music Ministry through administrative excellence, organizational leadership, and ministry coordination. This role is ideal for someone who loves working with pastors, musicians, volunteers, and worship leaders to create meaningful, well‑executed worship experiences rooted in the Reformed tradition. About the Role The Worship Coordinator collaborates with the Director of Worship Ministries, pastoral staff, volunteers, and ministry teams to plan, organize, and support Sunday worship, seasonal services, concerts, and music ministry activities. This position ensures smooth communication, accurate worship materials, and reliable logistical support for all worship‑related events. Key Responsibilities Worship Planning & Coordination Assist pastors and Worship Ministries in planning Sunday worship, seasonal services, and special worship experiences. Coordinate musicians for weddings, memorials, and special services. Manage logistics for worship services, concerts, and approved worship events. Facilitate communication among pastors, musicians, liturgists, volunteers, technical teams, and Facilities staff. Sunday Worship Support Create, typeset, proofread, and produce printed and digital orders of worship. Submit song lyrics, credits, and licensing information for presentation and livestream systems. Provide logistical support for liturgists, conductors, musicians, and worship leaders. Communicate audio, video, livestream, rehearsal, and facility needs. Coordinate chancel setup (pulpit, flowers, etc.). Ensure guest preachers are paid promptly. Concert Series & Special Events Provide administrative support for the church's concert series and music events. Coordinate artist communications, schedules, hospitality, contracts, and payments. Produce concert programs and collaborate on promotional materials. Choir & Music Ministry Administration Support music ordering, distribution, cataloging, and storage. Coordinate substitute section leaders, soloists, instrumentalists, and other musicians. Maintain rosters, attendance, calendars, registrations, and communications for choirs and ensembles. Support rehearsals for choral, instrumental, handbell, children, and youth music ministries. Assist with choir tours, retreats, festivals, and special events. Maintain CCLI and other licensing records and compliance documentation. Administrative & Volunteer Coordination Provide day‑to‑day administrative support for Worship and Music Ministries. Assist with purchasing, invoices, reimbursements, budget tracking, and recordkeeping. Coordinate timecard submission for assigned hourly employees. Maintain ministry calendars, production schedules, databases, and shared resources. Recruit, train, schedule, and support worship volunteers (lay readers, liturgists, ushers). Work with volunteer leaders to ensure proper staffing for worship services and events. Qualifications Active and growing Christian faith; alignment with the mission and worship practices of the Presbyterian Church (U.S.A.). Bachelor's degree in Music, Worship Arts, Arts Administration, Communications, or related field preferred. 3+ years of experience in church administration, arts administration, event management, or music ministry preferred. Ability to read music and work effectively with vocal and instrumental musicians. Background in choral singing, instrumental music, sacred music, or church music ministry preferred. Experience coordinating concerts, performances, worship services, or large events. Strong organizational, administrative, proofreading, and communication skills. Ability to manage multiple projects, deadlines, and confidential information with accuracy and discretion. Demonstrates sound judgment, reliability, integrity, and a cooperative team spirit. Technical Skills Proficiency with Adobe InDesign and Microsoft Office 365 (Word, Excel, Outlook, shared calendars). Experience with Planning Center, ProPresenter, Constant Contact, or similar platforms preferred. Familiarity with audio, video, presentation, and livestream environments. Working knowledge of Microsoft and Apple operating systems. Understanding of music licensing and copyright administration (CCLI). Working Relationships This position works under the Director of Worship Ministries and collaborates closely with pastors, staff, volunteers, musicians, and approved contractors. The role coordinates volunteers and contract musicians but does not independently exercise personnel, budgetary, or contractual authority.
