Operations Position Summary The account manager serves as a primary point of contact for customers throughout the ordering process. This position is responsible for providing exceptional customer service, processing orders, coordinating with vendors and production partners, internal graphic designers, team members, preparing quotations, monitoring project timelines, and ensuring customer satisfaction from initial inquiry through final delivery. Essential Duties and Responsibilities Customer Service (high priority) Answer incoming phone calls and emails professionally and quickly Respond promptly to customer inquiries with a great positive can do attitude Build and maintain strong customer relationships. Resolve customer concerns in a timely and professional manner. Provide product recommendations and solutions. Work with internal sales professionals Order Processing Enter customer orders accurately into company software. Prepare estimates and quotations. Review artwork and order specifications for completeness. Process purchase orders. Coordinate production schedules with vendors. Track orders through completion. Verify shipping information and delivery schedules. Vendor Coordination Communicate with suppliers regarding pricing, inventory, production schedules, and shipping. Resolve production or delivery issues. Obtain product samples when requested. Monitor vendor performance and communicate delays to customers. Monitor vendor invoices for accuracy Sales Support Assist sales representatives with customer requests. Prepare presentation materials and quotations. Help identify upselling opportunities. Support company marketing initiatives when needed. Administrative Duties Maintain accurate customer records. Organize order documentation. File completed job information. Assist with special projects assigned by management. Qualifications Associates degree required at a minimum. Minimum two years of customer service or administrative experience. Experience in printing, promotional products, or related industry preferred, not required. Excellent communication and organizational skills. Strong attention to detail. Ability to manage multiple priorities.
Technical Skills Proficiency in:
Microsoft Office Suite Microsoft Outlook CRM or ERP software a plus, not required Basic Adobe Acrobat Internet research Preferred experience with: Order managment Artificial Intellgence (basic knowledge) Basic to advance social media Core Competencies Customer Focus Positive Mental Attitude Extreme Communication Organization Time Management Problem Solving Professionalism Teamwork Adaptability Accountability Physical Requirements Frequent computer use.
