Position Summary PinSource is looking for a highly organized, proactive, and detail-oriented Senior Account Specialist to serve as a core member of the sales and account management team. This person will work closely with the Senior Account Manager to support key customer relationships, manage active projects, assist with account development, and help deliver custom souvenir and branding solutions to clients across museums, zoos, aquariums, resorts, attractions, schools, nonprofits, corporations, and retail partners. This role is much more than administrative support. The Senior Account Coordinator will act as a right-hand partner in managing customer communication, project timelines, order details, artwork coordination, supplier communication, trade show follow-up, and account growth opportunities. The ideal candidate is highly organized, communicates clearly and professionally, manages multiple priorities with confidence, and takes initiative to move projects forward. A successful Senior Account Coordinator will be able to balance fast-moving customer requests, production deadlines, artwork revisions, supplier communication, and internal follow-up while maintaining a high level of accuracy and professionalism. This person should enjoy being part of a close-knit team, be eager to learn the custom pin and souvenir industry and be comfortable building long-term relationships with customers and suppliers. Key Responsibilities Account & Sales Support Serve as a key support partner to the Senior Account Manager on active accounts, projects, and sales opportunities. Participate in weekly check-ins to review priorities, active projects, customer needs, timelines, and follow-up items. Attend meetings with core buyers and key customers as needed. Help manage smaller accounts, including communication, quoting, artwork follow-up, order entry, and general customer support. Assist with developing new and existing accounts through follow-up, research, outreach, and product recommendations. Help educate customers and prospects on Pinsource's full product range, including pins, magnets, patches, keychains, ornaments, coins, lanyards, and other custom souvenir products. Identify opportunities to increase, cross-sell, or introduce new product ideas based on customer needs. Project Management & Order Coordination Manage and track multiple customer projects from initial inquiry through delivery. Input, process, and monitor customer orders with a high degree of accuracy. Maintain clear project timelines and ensure key deadlines are met internally and externally. Coordinate between customers, sales, design, production, and suppliers to keep projects moving. Provide customers with updates on order status, artwork progress, production timing, and shipment status. Help calculate pricing, lead times, and production options based on customer expectations and supplier capabilities. Maintain accurate records of customer communication, quotes, orders, artwork notes, and sales activity in FileMaker or other company systems. Artwork & Product Development Review and proof artwork for accuracy, customer requirements, product specifications, spelling, colors, sizing, and overall presentation. Learn the basics of pin and souvenir artwork, including plating, enamel types, UV printing, backer cards, packaging, and common production limitations. Help prepare artwork notes and revision requests for designers and suppliers. Assist in developing creative product ideas for customers based on their brand, location, audience, and retail goals. Support the creation of customer presentations, product sheets, visual mockups, and sales materials. Supplier & Production Communication Communicate with domestic and international suppliers regarding pricing, lead times, artwork questions, production details, and shipment status. Help negotiate or confirm pricing, timelines, product specifications, and quality expectations. Ensure supplier instructions are clear, accurate, and complete. Follow up regularly with suppliers to keep projects on schedule. Help resolve production questions, artwork clarifications, shipping issues, or order discrepancies. Trade Shows & Customer Meetings Travel with the Senior Account Manager to trade shows, customer visits, and industry events as needed. Help prepare for trade shows, including samples, displays, sales materials, meeting schedules, and follow-up lists. Assist with meeting new prospective customers and supporting conversations with existing customers. Track leads, meeting notes, customer interests, and follow-up tasks after shows. Support post-show outreach, quotes, sample requests, and project development. Communication & Team Collaboration Communicate clearly, professionally, and consistently with customers, suppliers, and internal team members. Keep the Senior Account Manager informed of project status, issues, opportunities, and urgent needs. Help create better systems, processes, and organization for account management and project tracking. Work collaboratively with a small team in a fast-paced, relationship-driven environment. Qualifications Prior experience in sales support, account coordination, customer service, project management, purchasing, production coordination, or a related role preferred. Strong project management skills with the ability to manage many active projects at once. Excellent written and verbal communication skills. Writing ability is especially important. Extremely organized, detail-oriented, and reliable. Self-starter who can anticipate needs, solve problems, and keep projects moving. Comfortable working directly with customers and suppliers. Ability to learn new products, systems, and processes quickly. Experience with custom products, promotional products, souvenirs, retail goods, or manufacturing is a plus, but not required. Comfortable working in a team environment while also managing responsibilities independently. Occasional travel may be required for trade shows, customer meetings, and industry events. Trade show travel may include standing for extended periods, setting up displays, carrying samples or sales materials, and interacting with customers in a busy event environment.
