Full Job Description Position Mission:
The Events Team Member plays a vital role in delivering outstanding service to our clients during events at the Topeka Zoo & Conservation Center. By ensuring each event is well-executed, you help create memorable experiences that enhance our reputation and support the zoo's mission. Your contributions leave a lasting impression, encouraging community support and driving revenue through memorable, well-organized events. Ultimately, you help increase guest visits by delivering quality experiences that people will remember and recommend.
Essential Functions:
As an Events Team Member, you'll assist with the seamless setup, execution, and breakdown of various private and corporate events. Your primary responsibility is ensuring each guest has a positive and unforgettable experience. These events may include corporate luncheons, meetings, private rentals, celebrations of life, zoo fundraisers, weddings, and more. We take pride in exceeding guest expectations by providing top-notch service, attention to detail, and a friendly, welcoming environment.
Core Responsibilities:
Event Setup & Breakdown:
Assist with all aspects of event preparation, execution, and cleanup. Responsibilities include setting up tables, chairs, catering services, and any additional cleaning duties (sweeping, mopping, etc.). Bar Services (if 21+): Set up, run, and break down the bar at events, preparing, pouring, and serving both alcoholic and non-alcoholic beverages.
Guest Interaction & Assistance:
Help with event logistics by directing guests, answering questions, and ensuring they have a pleasant experience. Always maintain composure and professionalism when dealing with clients.
Venue Cleanliness & Maintenance:
Ensure rental spaces are clean, operational, and up to code. Perform cleaning tasks as needed throughout the event.
Security & Event Closure:
Ensure the safety and security of the zoo by securing event buildings and perimeter gates at the conclusion of events or rentals. Audio-Visual (AV)
Support:
Capable of operating AV equipment inside rental spaces to ensure smooth event execution.
Team Collaboration:
Work collaboratively with team members to ensure the overall success of each event while also being self-motivated and able to work independently.
Health & Safety:
Ensure a safe environment for guests by following all health and safety guidelines. This includes responding to emergencies and helping guests adhere to zoo policies regarding safety.
Customer Service Excellence:
Display strong customer service skills, including problem-solving and resolving guest issues in a professional and timely manner. A positive and service-oriented attitude is essential.
General Responsibilities:
Maintain a professional, courteous, and tactful demeanor when interacting with guests, co-workers, and external partners.
Lead and support team members in alignment with the Topeka Zoo and Conservation Mission, ensuring decisions are in line with organizational values.
Foster strong relationships through ongoing communication with internal teams, external partners, vendors, the Board of Directors (BOD), and key stakeholders.
Deliver superior service by resolving issues promptly and addressing concerns with urgency and efficiency.
Proactively identify solutions to problems, both in day-to-day operations and urgent situations.
Stay informed on current industry trends and developments that can benefit the zoo, actively seeking opportunities for professional growth.
Represent FOTZ professionally in all settings, including onsite activities, community events, and communications.
Participate in meetings as required and contribute to team discussions and planning.
Respond to customer, staff, and vendor inquiries in a timely and helpful manner.
Answer telephone calls and provide prompt, professional responses.
Adhere to all applicable federal, state, and local laws and regulations.
Follow FOTZ's policies and procedures to ensure consistency and compliance.
Perform other duties as assigned to support the mission of the zoo.

Work effectively with other team members and collaborate to ensure smooth event execution. Strong communication skills are essential (verbal, e-mail, text, two-way radio).

Always maintain a neat and tidy appearance, project a professional image, and remain calm and composed, even when facing challenging situations or clients.

Ability to take initiative, self-motivate, and work without constant supervision.

Meticulous attention to detail to ensure every aspect of the event runs smoothly and as planned.
Physical Demands:
Mobility & Physical Requirements:
The ability to frequently walk across the assigned area, and perform physical tasks such as reaching, bending, kneeling, lifting (up to 50 pounds), pulling, twisting, pushing, squatting, and dragging. This requires good hand-eye coordination and physical stamina to sit, stand, or move intermittently throughout the workday.
Indoor/Outdoor Work:
This role requires flexibility to work both indoors and outdoors in varying environmental conditions, including extreme temperatures, inclement weather, and possibly wet, icy, or muddy conditions. Exposure to hay, dust, and other outdoor elements is common.
Vision & Concentration :
Must have the ability to read computer screens, emails, and documentation, while maintaining focus on detailed information for extended periods. Requires good vision abilities, including close vision, color vision, peripheral vision, and depth perception.
Safety & Compliance:
A critical aspect of this role is ensuring safety in the work environment by exercising caution to prevent accidents. Must adhere to safety standards and comply with all relevant regulations and policies, including those set by TZCC, AZA, and USDA.
Multitasking & Time Management:
The role demands strong organizational skills with the ability to multitask effectively in a fast-paced environment. Must manage time efficiently, stay productive, and prioritize tasks while engaging with the public and working collaboratively as part of a team or independently.
Attendance & Punctuality:
Regular attendance and punctuality are essential for this position.
Documentation & Computer Skills:
Proficiency in documenting pertinent information and utilizing computer software (e.g., Word, Excel) is required, along with strong communication skills.
Vehicle Operation:
Ability to operate golf carts and on-the-road vehicles as part of job responsibilities.
