Job Description

Position Summary The Marketing & Outreach Coordinator supports the continued growth and visibility of Counseling Associates by developing and coordinating marketing, community outreach, referral relationship, and recruitment-related initiatives. This position serves as a key connection between Counseling Associates and the communities, organizations, healthcare professionals, prospective clients, referral sources, and prospective employees we hope to reach. The Coordinator develops and maintains community relationships, coordinates outreach opportunities, supports the Event team, manages marketing communications, and helps ensure that information about Counseling Associates' services is accurate, accessible, and effectively communicated. The Marketing & Outreach Coordinator works closely with practice leadership, the Access Team, clinical specialty coordinators, HR, and administrative teams to identify areas of need and develop outreach and marketing efforts that support organizational priorities. This role requires a combination of relationship-building, organization, communication, creativity, follow-through, and data tracking. The successful candidate will be comfortable both developing a strategy and handling the practical details necessary to execute it. Key Responsibilities Strategy Develop in collaboration with leadership and staff an Outreach and Marketing strategic approach that is data informed and includes data tracking, reporting and evaluation using management systems Track and maintain accurate and up-to-date outreach and marketing data including community contacts, meetings, events, referrals and partnerships Track referrals and community relationships generated through outreach efforts. Monitor engagement with newsletters, social media, and other marketing initiatives. Review available data to identify trends, opportunities, and areas for improvement. Provide regular updates and reports to leadership regarding marketing and outreach activity and outcomes. Community Outreach & Relationship Development Develop and maintain relationships with healthcare providers, community organizations, schools, businesses, social service agencies, and other potential referral partners. Represent Counseling Associates professionally at community meetings, networking events, health fairs, conferences, and other outreach opportunities. Identify new opportunities to introduce Counseling Associates' services to potential referral sources and community partners. Maintain regular communication and follow-up with existing community partners. Develop an understanding of the needs of different communities and identify opportunities for Counseling Associates to increase awareness and access to services. Coordinate outreach activities across Counseling Associates locations and service areas. Maintain current knowledge of Counseling Associates' services, programs, specialties, locations, and areas of clinical need. Develop and maintain systems for tracking community relationships, outreach contacts, meetings, events, and follow-up. Identify and track events aligned with outreach and marketing strategy Outreach Planning & Event Coordination Identify and prioritize outreach events and opportunities based on organizational needs and potential impact. Coordinate Counseling Associates' participation in community events, conferences, networking opportunities, and other outreach activities. Review proposed outreach opportunities and coordinate appropriate participation. Coordinate logistics, materials, staffing, and follow-up for outreach events. Prepare event packets and marketing materials for Counseling Associates locations, including support for outreach efforts in Mississippi. Track contacts, referrals, partnerships, and other relevant outcomes associated with outreach events. Maintain an organized calendar of outreach events and opportunities. Coordinate an event team which serves to support event management in varying locations Marketing & Communications Develop and coordinate marketing initiatives designed to increase awareness of Counseling Associates and its services. Create, coordinate, and schedule social media content in collaboration with leadership. Create and maintain marketing materials, including flyers, brochures, referral materials, presentations, and other promotional resources. Maintain accurate and up-to-date information about Counseling Associates across marketing platforms and materials. Coordinate updates to website content and other public-facing information as needed. Create and maintain the practice newsletter. Coordinate monthly newsletter content, submissions, approvals, and distribution. Use Brevo to create and distribute newsletters and other approved communications. Develop content that highlights Counseling Associates' services, specialties, clinicians, programs, community involvement, and organizational culture. Support photography, video, graphic design, and other creative marketing projects as needed. Ensure that marketing and communications consistently reflect Counseling Associates' mission, values, voice, and commitment to inclusivity and belonging. Recruitment & Employer Marketing Support HR and leadership with recruitment-related marketing and outreach. Promote Counseling Associates as an employer of choice through social media, community relationships, job fairs, professional networking, and other appropriate channels. Develop content highlighting employee experience, organizational culture, professional development, and career opportunities. Assist with recruitment events and professional networking opportunities. Process Development & Administrative Support Develop and maintain organized marketing and outreach processes and procedures. Create and update documentation related to outreach, marketing, and community partnerships. Maintain organized digital files and resources for marketing and outreach materials. Identify opportunities to improve the efficiency, consistency, and effectiveness of marketing and outreach efforts. Support special projects and other administrative needs of the practice as requested. Work collaboratively with HR, leadership, clinical teams, Access, and administrative staff. Required Skills & Qualifications Bachelor's degree in Marketing, Communications, Business, Public Relations, or a related field, or equivalent combination of education and experience. Demonstrated experience in marketing, community outreach, communications, business development, public relations, or a related field. Excellent written and verbal communication skills. Strong interpersonal skills and the ability to build and maintain professional relationships. Strong organizational skills and exceptional follow-through. Ability to independently manage multiple projects, deadlines, and priorities. Comfortable representing Counseling Associates professionally in the community. Ability to work both independently and collaboratively. Strong attention to detail and commitment to accuracy. Comfortable tracking and interpreting basic outreach and marketing data. Proficiency with Microsoft Office, Outlook, Teams, and shared digital file systems. Willingness and ability to learn and use Smartsheet, Unite Us, Brevo, and other organizational platforms. Ability to maintain confidentiality and exercise appropriate judgment when working with sensitive organizational and client-related information. Preferred Qualifications Experience in healthcare, behavioral health, social services, or another community-based organization. Experience developing referral relationships or working with healthcare/community referral sources. Experience with social media management and digital marketing. Experience with Canva or similar graphic design platforms. Experience with email marketing platforms such as Brevo. Experience coordinating events or community programs. Familiarity with mental health or healthcare services.
