Job Description

The Administrative & Marketing Coordinator plays a key role in supporting the daily operations and continued growth of our agency through a combination of administrative support, marketing leadership, and operational coordination. This individual will help keep the agency organized and efficient while taking ownership of our marketing efforts across digital, print, and community channels. Working closely with leadership and our service team, this position is instrumental in improving internal processes, strengthening our brand, and supporting an exceptional client experience. Responsibilities Provide administrative support by answering phones, managing the agency inbox, processing client payments, and assisting with day-to-day office operations. Support account managers by preparing documents, processing carrier paperwork, maintaining electronic files, and helping keep agency workflows organized. Lead and coordinate the agency's marketing efforts, including website updates, social media management, Google Business Profiles, online reviews, promotional materials, sponsorships, community events, and branded communications. Create and maintain marketing content that reflects the agency's brand while working with outside vendors on print materials, presentations, and other creative projects. Support agency operations by maintaining calendars, tracking licensing, coordinating onboarding tasks, organizing office supplies, assisting with vendor relationships, and supporting technology and process improvement initiatives. Provide administrative accounting support, including direct bill deposits and other finance-related tasks. Assist leadership with special projects and take on new responsibilities as the agency continues to grow. Qualifications Associate's or Bachelor's degree in Business, Marketing, Communications, or a related field (or equivalent experience) preferred. 1-3 years of experience in an administrative, marketing, or office support role is required. Strong organizational skills with the ability to manage multiple priorities and projects in a fast-paced environment. Excellent written and verbal communication skills with a strong customer service mindset. Proficiency with Microsoft Office 365 and confidence learning new technology and software. Proficiency with social media management, website updates, Google Business Profile, Canva, or other marketing platforms, with an understanding of branding and digital marketing best practices. Creative, detail-oriented, and comfortable developing marketing content while maintaining a consistent brand image. Self-motivated with the ability to work independently while collaborating effectively with a team. Pay:
$50,000.00 - $55,000.00 per year
