Job Description

Overview We are seeking a dynamic and highly organized Secretary to join our team! In this vital role, you will be the backbone of our office operations, ensuring smooth communication, efficient scheduling, and seamless administrative support. Your proactive attitude and exceptional organizational skills will help foster a productive environment where team members can thrive. This paid position offers an exciting opportunity to develop your administrative expertise while contributing to a professional and friendly workplace. Duties Manage multi-line phone systems, answer inquiries promptly, and direct calls efficiently using professional phone etiquette. Provide front desk support by greeting visitors, handling check-ins, and maintaining a welcoming environment. Organize and maintain files, documents, and records through accurate filing systems and digital data entry. Schedule appointments, manage calendars, and coordinate meetings using productivity software such as Microsoft Office and Google Workspace. Perform clerical tasks including proofreading correspondence, preparing Word documents, spreadsheets, and reports with high attention to detail. Assist with office management duties such as supply inventory, equipment maintenance, and basic bookkeeping using QuickBooks or similar software. Support customer service efforts by responding to client inquiries via phone or email and providing excellent support to ensure satisfaction. Skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace for document creation, editing, and communication. Strong computer literacy with experience in data entry, file management, and using productivity software to enhance efficiency. Excellent organizational skills with the ability to multitask effectively in a fast-paced environment. Bilingual abilities are highly desirable to facilitate communication with diverse clients and team members. Knowledge of multi-line phone systems and phone etiquette to handle high-volume calls professionally. Previous office experience including administrative support or clerical roles is preferred; familiarity with front desk operations is a plus. Experience with bookkeeping tools such as QuickBooks or similar accounting software is advantageous. Exceptional time management skills coupled with the ability to prioritize tasks efficiently.
