1.0 Non-union, salaried position, exempt. $72,480-$79,090 annually. DOE 260 working days per year + 9 paid holidays + 3 personal days. 15 Annual Vacation Days; 12 Sick Days Benefit eligible Montana Public Employees Retirement contribution (PERS) Reports to: Director of Business Services Closes 9/14/2026 Interviews to be held 9/17/2026 Overview The Assistant Director of Business Services is the district's senior accounting position and works under the direction of the Director of Business Services to maintain the financial integrity of both the Elementary and High School districts. This role owns the general ledger, monthly and year-end closing, fund accounting, cash and bank reconciliation, grant fiscal management, and state financial reporting, and prepares the financial information on which administrators, the Board of Trustees, auditors, and state agencies rely. The position requires independent judgment, a thorough working knowledge of Montana school finance and governmental fund accounting, and the ability to maintain accurate records and sound internal controls across a complex multi-fund, multi-district accounting structure. Job Responsibilities General Ledger & Financial Reporting Maintain general ledger accounting processes and functions; analyze expenditures and revenues and accurately record adjusting entries. Prepare monthly financial closings and reconcilements. Prepare and analyze financial information for administrative-level decision making. Oversee the accounting of the various district funds for both the Elementary and High School districts. Establish and maintain codes for balance sheets, expenditures, and revenues in accordance with the Montana school accounting chart of accounts. Oversee and perform the financial year-end close of the district. Prepare the Annual Trustees' Financial Summary (TFS) in the Montana Automated Education Financial and Information Reporting System (MAEFAIRS). Post annual reports to the EMMA website for public access to financial reports. Budget Development & Monitoring Assist with the management of district budgets; monitor line items and report on significant variances. Oversee district cash flow, analyzing revenues and expenditures. Support the Director of Business Services in the preparation of the annual budget and related trustee reporting. Cash Management & Reconciliation Post and reconcile cash balances with the County Treasurer's Office. Prepare the monthly County Treasurer's transfer letter. Post and reconcile health insurance accounts, prepare monthly financials, manage the weekly transfer, and reconcile the bank statement. Post and allocate interest revenue. Monitor transactions for miscellaneous funds and report ending balances by program. Post and reconcile endowment funds; coordinate efforts with site career center staff. Prepare reports, reconcile bank statements, and manage the bank balance for Student Built Homes. Grants & Restricted Funds Process cash requests for grants, complete final expenditure reports, and post revenue accurately. Complete the district's indirect cost application. Maintain fiscal records supporting federal and state grant programs and coordinate with program directors on allowable costs and reporting deadlines. Internal Controls, Audit & Compliance Provide proper internal controls and accounting procedures. Oversee the annual audit by providing financial information as needed and serving as a primary contact for audit fieldwork. Formulate, recommend, and implement changes to policy or procedure to ensure the integrity of the financial system. Ensure compliance with applicable state statute, administrative rule, district policy, and federal grant requirements. Systems & Other Duties Maintain a working knowledge of district software related to the business office, including the district's ERP, student information, time and attendance, nutrition, and activity accounting systems. Support the ongoing configuration, testing, and improvement of business office systems and workflows. Provide backup and support to business office staff across accounts payable, accounts receivable, and payroll functions as needed. Perform other duties as assigned. Knowledge, Skills, and Abilities Thorough knowledge of governmental fund accounting principles, generally accepted accounting principles, and GASB standards as applied to public school districts. Knowledge of Montana school finance statutes, budgeting mechanics, and the Montana school accounting chart of accounts, or demonstrated ability to acquire that knowledge rapidly. Ability to reconcile complex accounts independently and to research, identify, and resolve discrepancies. Ability to prepare accurate financial statements, schedules, and reports under firm deadlines. Strong organizational, time management, and detail management skills; ability to manage multiple concurrent deadlines. Proficiency with enterprise financial software and advanced proficiency with Microsoft Excel and Google Workspace. Ability to interpret and apply statute, administrative rule, board policy, grant requirements, and collective bargaining agreements. Ability to communicate financial information clearly to administrators, trustees, auditors, and staff without an accounting background. Ability to maintain confidentiality and handle sensitive personnel and financial information appropriately. Ability to work effectively and collaboratively with district staff, county and state officials, auditors, and the public. Minimum Qualifications Bachelor's degree in accounting, finance, business administration, or a closely related field, and three years of progressively responsible accounting experience, OR Associate degree in accounting or a closely related field, and five years of progressively responsible accounting experience, OR Seven years of progressively responsible accounting experience, including general ledger and reconciliation responsibility. Demonstrated experience across accounts payable, accounts receivable, and payroll functions. Preferred Qualifications Prior school district or other governmental fund accounting experience. Experience preparing the Annual Trustees' Financial Summary and other state reports in
MAEFAIRS.
Experience administering grant fiscal processes in the Office of Public Instruction's eGrants system, including cash requests, budget amendments, and final expenditure reports. Experience with Tyler School ERP Pro (fund accounting, payroll, and human resources modules). Experience with TimeClock Plus or a comparable time and attendance system. Experience with PowerSchool, and with activity, nutrition, or student fee accounting systems. Experience coordinating an annual financial audit, including single audit requirements under Uniform Guidance. Experience with indirect cost rate applications and federal grant reporting. CPA, CPFO, or Montana School Business Official certification, or progress toward such certification. Physical Demands Ability to work at a computer workstation for extended periods of time. Ability to occasionally lift and carry materials weighing up to 25 pounds.
