The primary objective of the BDC is to create quality appointments that show, engage with the sales team, and ultimately result in vehicle sales. The BDC Manager is responsible for the performance, training, accountability, and daily execution of the BDC team. This position must maintain a strong working relationship with Sales Management and ensure leads are worked quickly, consistently, and correctly. Key Responsibilities Lead, coach, train, and hold BDC representatives accountable to dealership standards. Manage all internet, phone, text, email, and other assigned customer opportunities. Ensure new leads receive immediate and professional responses. Drive appointment creation, confirmation, show rate, and sold results. Monitor CRM activity throughout the day. Ensure leads contain accurate notes, proper follow-up, and appropriate next actions. Maintain zero tolerance for ignored leads, overdue tasks, or opportunities being dismissed without proper follow-up. Conduct outbound prospecting campaigns using unsold customers, previous customers, orphan customers, equity opportunities, service customers, and other dealership databases. Conduct daily call and appointment blitzes. Review appointment quality and confirmation status with the team. Work closely with Sales Managers to ensure appointments receive proper attention before and after arrival. Track appointment outcomes including scheduled, confirmed, shown, sold, missed, and rescheduled customers. Ensure missed appointments receive immediate follow-up. Review unsold showroom traffic and ensure proper follow-up is completed. Monitor lead response times, contact rates, appointment rates, show rates, closing rates, and BDC-generated sales. Listen to calls and review texts and emails for quality and training opportunities. Maintain accurate reporting and communicate results to dealership leadership. Identify underperformance quickly and create specific coaching and improvement plans. Recognize strong performance and create a competitive, positive environment within the department. Assist directly with customer calls and lead follow-up when additional support is needed. Ensure compliance with dealership policies and applicable communication requirements. Daily Performance Expectations The BDC Manager is expected to: Review all new and active leads at the beginning of each day. Ensure leads are responded to promptly. Review the day's appointments for quality and confirmation. Conduct two focused BDC blitz periods each day. Maintain consistent communication with Sales Management throughout the day. Review BDC performance and appointment progress throughout the day. Conduct a daily calibration with the team and Sales Management. Monitor missed appointments and ensure immediate follow-up. Review overdue tasks and improperly worked leads before the end of each day. Ensure every BDC representative knows their individual goal and current performance. Performance Measurements The BDC Manager will be evaluated based on: Total appointments created Confirmed appointments Appointment show rate BDC-generated vehicle sales Lead response time Customer contact rate Appointment-to-lead conversion Show-to-sale closing percentage CRM task completion Lead follow-up quality Outbound activity Individual BDC representative performance CSI/customer experience Overall dealership sales contribution Activity alone does not define BDC success. Calls, texts, emails, and appointments must ultimately produce customer engagement, showroom traffic, and vehicle sales. Leadership Expectations The BDC Manager must be an active leader who understands what is happening inside the CRM throughout the day. When appointments are behind goal, the manager is expected to identify the gap and take action—not wait until the end of the day to report the result. The BDC Manager should be willing to get on the phone, help set appointments, coach conversations, listen to calls, correct poor follow-up, and work alongside the team. Accountability should be consistent, measurable, and fair. Qualifications Automotive BDC, internet sales, or dealership sales experience preferred. Previous leadership or management experience strongly preferred. Strong understanding of CRM and lead-management processes. Excellent phone, text, email, and customer communication skills. Strong coaching and accountability skills. Ability to analyze lead, appointment, show, and sales performance. Highly organized and comfortable managing multiple priorities. Competitive, energetic, and results-oriented. Ability to work effectively with Sales Managers and dealership leadership. Professional attitude and appearance. Overall Objective Build and lead a disciplined BDC that consistently converts dealership opportunities into quality appointments, showroom traffic, and vehicle sales. The BDC Manager owns the process from the moment an opportunity enters the CRM until the customer arrives, purchases, or is properly followed through the sales cycle.
