JOB SUMMARY
Under the supervision of the Fitness Director, assists in planning, organizing, staffing, leading, and coordinating specified facility office duties as assigned to ensure high-quality customer service for members/guests and is also responsible for coordinating service delivery of integrated support services within The Center for Health Improvement (CHI). Assists in different aspects of coordinating the day-to-day operations and development of center/community activities. Responsible for rental and recreational operations including scheduling, communicating and overall staff coordination in accordance with established CHI policies and procedures. This position is responsible for personnel management and customer service responsibilities and requires administrative and reporting responsibilities.
JOB REQUIREMENTS
Education and Experience The knowledge, skills and abilities acquired through the successful completion of a bachelor's degree in a related field of Parks and Recreation, Business, Marketing, Event Planning or a health-related discipline. Two years' professional in job related field, preferably in a high-volume service industry. Supervisory experience in the service industry is preferred. A proven track record of success in a leadership position is desirable.

Basic Life Support (BLS)

Qualifications Knowledge & Skills Requires a broad knowledge of the service industry and some familiarity with the fitness and wellness industry to understand and match the programs, facilities and services offered at CHI with potential member needs. Demonstrates the verbal and written communication skills necessary to interact effectively with members, staff and visitors and strong customer service satisfaction skills. A high level of interpersonal skills and a sincere interest in improving the health and well-being of the public. Demonstrates excellent leadership skills and the ability to train, motivate and guide entry level staff to work well together as an integrated customer service team. Demonstrates a personal commitment to positive fitness and health practices and presents an image consistent with a fit and healthy lifestyle. Demonstrates proficiency in computer skills, including basic internet skills. A basic understanding of database applications is desired. Requires the ability and knowledge of prospecting, selling techniques and follow-up skills to capitalize on potential sales leads. Demonstrates problem-solving skills with the ability to overcome objections and has a track record of success in closing sales. Demonstrates an understanding of basic principles of motivation, safety, behavior modification and emergency procedures. Requires skills in public speaking in the form of staff and/or community training and presentations. Requires leadership skills necessary to elicit cooperation and support of the CHI Management Team in a constructive manner. Requires the ability to work independently and prioritize workload. Also requires analytical, organization and planning skills. Maintains professional certifications as appropriate. Works in a fitness/community/front desk and office environment. Requires ability to work flexible hours including early mornings, nights, and weekends to cover area responsibilities when necessary. ESSENTIAL FUNCTIONS
Coordinates and supervises all the daily operations of membership service area. This includes, but not limited to member check-in, enrollment, class check-in, locker service, sales, inquiries, purchase procedures, childcare & reception desk; works at the front desk and assists members with purchases, including items from the pro shop and juice bar and obtains credit when needed, schedules, department goals (financial & customer experience), tracking & ordering of inventory and working close with other staff to ensure duties are completed. Responsible for human resources processes including interviewing and orientating staff, and ongoing performance management. Coordinates staff schedules and communicate appropriately. Assisting in coaching, counseling and implementing disciplinary action when necessary. Ensuring timely opening and closing and coverage at all times; including filling in for staff during emergencies or as otherwise needed in all assigned departments. Available to work overtime in addition to working additional or other shifts and schedules when required. Monitoring timecards on a regular basis and adjusting staffing patterns, as needed, to meet budget limits. Coordinates and manages sales efforts and engages all staff in the process; trains and manages staff in handling and placing prospective inquiring calls, converting calls into scheduled appointments, conducting effective sales presentations/tours, accountability for closing sales and effective follow-up on all interactions with prospects; and works with management team to promote and administer effective membership growth and retention programs both internally and externally. Conducting or coordinating customer service training/workshops for membership staff. Modeling desired customer services behaviors and dress code according to HaysMed/CHI Policy. Personally, sells memberships, identifying potential customers and markets and initial prospects by conducting sales through the development of new leads, center tours, phone email inquiries promoting features/programs which meet individual needs. Handling prospect inquiry calls to convert calls into scheduled appointments, following up on all interactions with prospects. Initiating follow-up calls with individual/groups identified through marketing efforts. Receives comments and complaints from members and takes appropriate action. Also, provides feedback to CHI leadership. Receiving input from members regarding comments, suggestions and/or complaints; takes appropriate action to assure membership satisfaction. Following up with new members to ensure smoothness of enrollment process and that their expectations are met. Assists in managing club management system that allow for the accurate data management including but not limited to: membership, accounting, utilization data, and report generation (membership freezes, cancellations, additions, address changes); performs cash functions to include balancing of cash drawer, maintaining point of sale operations, maintaining drawer dollar levels and accuracy with all cash transactions including locker rental, class/guest registration; maintains charges on members' accounts; updates instructional binders; ensures all new member files are completed on a daily basis including but not limited to: copying, routing paperwork, making labels, filing, and accurately entering member data information. Provides positive leadership, guidance, and support to all fitness staff through an environment of teamwork, open communication and customer service, during after-hours operations and fulfills Manager on Duty (MOD) responsibilities as assigned. Attends and participates in department meetings and is accountable for all information shared. Assists in managing policies and work instructions for compliance with regulatory standards and to improve the overall operation of the facility. Providing input into development and maintenance of CHI policies and procedures, following all emergency procedures as outlined in policies. Works in collaboration with HaysMed entities (Physical Therapy, Physicians and Other Specialty Groups) through member referral. Providing input on operational procedures and practices and identifying opportunities to improve customer service. Working with CHI team to maintain/improve high standards of customer service; leading to higher levels of member retention. Assists in the development, marketing, delivery and evaluation of all programs associated with The Center, in accordance with long term goals for The Center. Recommends appropriate programs and services based on community needs and interests. Assists in developing financial budgets to achieve corporate strategies and financial targets, manages areas of responsibility to optimize revenue and reduce costs. Achieves maximum inventory turnover with a profit margin and minimum of budgeted average markup; reviews inventory and sales report periodically; develops juice bar and pro shop sales promotion programs to meet/exceed expected sales; maintains proper accounting for monthly inventory; and performs walk-through of the pro shop and juice bar. Ensures the return of all equipment to proper storage area; ensures all equipment is in proper working order; removes any non-functioning equipment and reports appropriately; inventories and orders supplies; and maintains proper operations. Working directly with contracted cleaning and maintenance vendors on housekeeping or facility operations issues. Consistently utilizes appropriate universal precautions, protective equipment, and ergonomic techniques to protect patient and self. Adheres to regulatory agency requirements, survey process and compliance. Completes mandatory education, annual competencies/associate health requirements and department specific education within established timeframes. Maintains license/certification, registration in good standing throughout fiscal year. Completing other job-related assignments and special projects as assigned.
