Job Description

The Parts Clerk helps to manage inventory and assists with purchasing of parts for Fleet Maintenance for Howard Sheppard, Inc. Primary role is to manage inventory based on demand, sourcing quality parts at the best price, overseeing the parts rooms at designated facility and the equipment in the parts department. The individual must be capable of sourcing quality parts at acceptable pricing that match OEM standards for all equipment. The individual must have reasonable keyboarding skills as well as the ability to read and write well. Mechanical aptitude is essential and prior experience a plus. The responsibilities of this position listed below are representative yet not all inclusive:
  • Determine and maintain adequate inventory stock that enables internal service and repair of equipment to be completed without delay yet avoids excessive inventory cost associated with overstocking parts.
  • Manage stock-control systems to record and analyze the use of parts.
  • Assist with parts warranty programs by following processes that accurately documents parts replaced under warranty and details the history of the faulty part(s).
  • Oversee and ensure the integrity of physical inventory counts through regular cycle counts on a schedule as well as able to conduct a yearend inventory in compliance with normal accounting practices.
  • Identify & evaluate suppliers who offer replacement parts equal to the quality of the original.
  • Negotiate with suppliers the best pricing for parts.
  • Oversees the general housekeeping of parts room and storage, and parts office area ensuring each is kept neat and orderly.
  • Oversees all equipment operated by the parts department ensuring it is kept in good working condition and maintained by repairing or replacing as needed. Such equipment as computer, printers, labelers, etc.
  • Have a professional relationship with intra-department maintenance personal and help to maintain a smooth and seamless workflow between each department.
  • Reports directly to the Area parts manager providing written and verbal status reports for analysis and dissemination to upper management. To be successful in this position, the individual must have:
  • High school diploma or equivalent GED.
  • A valid driver's license meeting the company requirements for driving company owned vehicles.
  • Extensive experience and product knowledge in truck and trailer parts.
  • Experience in a truck repair or parts department environment.
  • Excellent verbal and written communication skills.
  • Good administrative skills, personnel management skills, and customer service skills.
  • Sound computer skills being well versed using Microsoft Word, Excel, and Outlook.
While performing the responsibilities of this job the individual will work in a shop office environment utilizing a computer with various computer software programs, and phone to complete the tasks for this position. This individual will have a routine work schedule requiring a presence at the designated work station, to include going onto shop floor so appropriate work attire and PPE are required
