Job Summary:
We are seeking a dynamic and highly organized Office Administrative Assistant to join our team. In this pivotal role, the Administrative Assistant performs a variety of clerical and administrative tasks, basic real estate paperwork, and property management administration. Job Overview The Administrative Assistant will be the backbone of our real estate operations, by providing essential administrative and operational support to the brokerage. This position is responsible for coordinating day-to-day office activities, maintaining organized records, assisting with basic real estate and property management documentation, and supporting communication with clients, tenants, vendors, and agents. The ideal candidate is organized, detail-oriented, professional, responsive, and able to manage multiple priorities while maintaining a high level of accuracy and confidentiality. General Office & Administrative Support Answer and direct phone calls and respond to emails in a professional and timely manner. Schedule and coordinate appointments and office meetings. Maintain organized electronic and physical files including financial and administrative documents. Assist with day-to-day office operations and provide general administrative support to Broker and Agents. Prepare correspondence, notices, forms, and other administrative documents as needed. Maintain confidentiality of client, tenant, property, and company information. Assist with basic reporting, reconciliation, and recordkeeping. Communicate payment or documentation discrepancies to the appropriate team member for review. Follow up on outstanding requests and ensure tasks are completed in a timely manner. Support the Broker with special projects and administrative tasks as needed. Maintain a professional, organized, and welcoming office environment. Real Estate & Property Management Support Organize and maintain real estate and property management documents. Assist with maintaining and tracking transactions, rent payments, invoices, receipts, leases, inspections, property management deadlines and follow up as needed. Support tenant communications, including move-ins, move-outs, maintenance requests, notices, general questions, and other routine matters. Coordinate maintenance requests with property owners, tenants, and vendors. Schedule and follow up on property repairs, inspections, and service appointments. Maintain accurate and up-to-date property, tenant, and vendor records. Required Skills & Abilities Highly organized, reliable, and detail-oriented with strong follow-through. Comfortable using email and basic computer programs, including Microsoft Word and Excel. Trustworthy and able to maintain confidentiality when handling sensitive client, tenant, property, and company information. Ability to work independently, prioritize tasks, and manage multiple responsibilities. Familiarity with CRM systems, real estate transaction management tools, or property management platforms is strongly preferred. Education & Experience Associate's degree required; Bachelor's degree in Business Administration or a related field preferred. Three to five years of progressive administrative experience, preferably in real estate, property management, professional services, or similar office environment. Florida Real Estate License strongly preferred. Physical Requirements Prolonged periods of sitting at a desk and working on a computer. Must be able to lift and carry up to 15 pounds occasionally.
