$25.00 - $28.00/hour (Based on experience) About the Role PrideStaff is seeking a sharp, detail-oriented Administrative Assistant for a high-volume, fast-paced construction company located in Mahwah, NJ. This is an excellent temp-to-hire opportunity for an administrative professional who thrives in a busy environment. Candidates with prior experience in property management, real estate, or construction administration will be highly valued for this role. Key Responsibilities Serve as the central point of contact for internal teams, sub-contractors, property owners, and field staff. Manage high-volume scheduling, and calendar updates for active job sites and maintenance projects. Process vendor invoices, purchase orders, work orders, and change requests with high accuracy. Maintain digital and physical project files, including tenant/property records, permits, insurance certificates (COIs), and compliance documentation. Draft, edit, and distribute professional correspondence, reports, and job site updates. Track project timelines and flag delays or administrative bottlenecks for management. Assist with basic onboarding paperwork, subcontractor clearance, and property access permissions.

Qualifications Experience:

2+ years of administrative experience, ideally within property management, real estate, or construction.

Property Management Knowledge:

Familiarity with work orders, tenant communications, vendor coordination, or lease/property compliance is a major plus.

Tech-Savvy:

Proficiency in MS Office Suite (Word, Excel, Outlook); experience with property management software (Yardi, AppFolio, RealPage) or construction tools (Procore, QuickBooks) is highly preferred.

Skills:

Excellent verbal and written communication, strong organizational abilities, and a high level of attention to detail.

Adaptability:

Ability to prioritize multi-step tasks independently in a high-energy, fast-moving office environment.
